SUMMARY:
Administrator / PA and Debtors Clerk - George

We are seeking a highly organised and detail-oriented Administrator / Personal Assistant / Debtors Clerk to support the daily operations of a busy bearing and industrial supply company. The successful candidate will manage administrative functions, provide personal assistant support to management, and oversee debtor accounts to ensure efficient cash flow and customer account management.
 
The ideal candidate must be professional, proactive, able to multitask effectively, and comfortable working in a fast-paced technical sales environment.

Key Responsibilities and duties include but not limited to:-

• Key Responsibilities
  Administration Duties
  
  • Manage general office administration and filing systems
  • Maintain customer and supplier records
  • Assist with stock administration and order tracking
  • Handle email correspondence and office communication
  • Ensure office supplies and stationery are maintained
  • Support sales and operations teams with administrative tasks
  • Responsible for all office consumables and stationery
  • Oversee cleaning staff
  Personal Assistant Duties
  
  • Manage diaries, appointments, and meetings for management
  • Prepare reports, presentations, and documents when required
  • Arrange travel bookings and accommodation if needed
  • Take meeting minutes and follow up on action items
  • Assist management with confidential administrative matters
  • Screen calls and prioritise urgent matters
  • Responsible for ordering staff clothing and promotional items
  Debtors / Accounts Duties
  
  • Maintain debtor accounts and customer statements
  • Ensure timeous collection of outstanding monies
  • Follow up on outstanding payments professionally and timeously
  • Perform account reconciliations
  • Allocate customer payments accurately
  • Resolve account queries and discrepancies
  • Prepare weekly age analysis reports
  • Ensure compliance with company credit control procedures
  • Liaise with customers regarding payment arrangements
  • Assist with month-end finance administration

POSITION INFO:
Minimum Requirements

• Grade 12 / Matric
• Relevant administration or bookkeeping qualification advantageous
• Minimum 3–5 years’ experience in administration and debtors
• Previous experience in an industrial, engineering, or bearing environment advantageous
• Proficient in Microsoft Office (Excel, Word, Outlook)
• Fluent in English and Afrikaans
• Experience with accounting systems (Pastel, Sage, Syspro, or similar) advantageous
• Strong communication and organisational skills
• Ability to work independently and under pressure
• High level of accuracy and attention to detail
• Professional telephone etiquette
