JOB DESCRIPTION:

Main purpose of the job:

  • To provide regulatory and general administrative support services to Wits Clinical Research (WCR)

Location:

  • 27 Ridge Road, Parktown - Johannesburg

Key performance areas:

  • Operations oversight and maintenance of the office and equipment
  • Manage site reception and the Clinic calendar
  • Manage the completion of daily visit schedule and billing sheets
  • Compiling of regulatory documents for submission and ensuring all signatures are in place
  • Assist Sponsors with SAHPRA, WHREC, and other regulatory application forms and get signatures from investigators
  • Follow up with regulatory authorities and sponsor companies regarding the status of applications
  • Maintaining relevant online trackers and keeping online trackers up to date
  • Assist site staff with ad-hoc regulatory documents
  • Capture products daily on fee trackers
  • Obtain signatures from Principal Investigators (PI) for specialist fees monthly
  • Provide accurate and timely feedback to stakeholders regarding payments
  • Verify transactions on petty cash and patient transport weekly claim schedule
  • Compile petty cash schedules, ensure that all slips are obtained, and submit to WHC Core on the PMV system
  • E-wallet payment processing
  • Procurement of all site items as per WHC guidelines
  • Conduct monthly stock takes of stationery and groceries
  • Process Creditor invoices as per WCH guidelines
  • Reconciliation of all purchase orders issued against invoices received
  • File statements, documentation, and correspondence to/from creditors
  • Assist the administrative staff with arrangements for participant visits (Patient transport with Uber, Vendor booking details, etc.)
  • Assist the team with ad hoc assignments and duties as needed, delegated by the line manager, and within the scope of practice

Required minimum education and training:

  • Degree in Office Administration
  • A diploma or Degree in a finance-related field will be advantageous

Required minimum work experience:

  • Minimum of 2 years’ Office Administration experience

Desirable additional education, work experience, and personal abilities:

  • Experience working in a research environment will be advantageous
  • Exceptional organizational and administrative skills with working knowledge of Microsoft Office & basic Finances
  • Excellent communication skills (both written and oral)
  • Ability to establish and maintain effective working relationships with internal and external stakeholders and other syndicates
  • Attention to detail
  • Able to maintain confidentiality, tact, and professionalism at all times
  • Able to exercise discretion, high levels of initiative, and independent decision-making
  • Must be assertive, confident, and adaptable
  • Self-motivated, able to work independently with high regard for work ethic, values, and integrity, and work as part of a multidisciplinary team
  • Must be able to travel to different sites as and when required
  • Overtime may be required from time to time
  • Able to work in a demanding and diverse environment and adapt to changes
