POSITION INFO:

Requirements:

• Grade 12.
• Minimum 3 years'' administration experience.
• Full Afrikaans proficiency is a prerequisite.
• Proven experience working on Sage X3.
• Advanced Microsoft Excel skills.
• Stock control and inventory management experience.
• Strong numerical and analytical ability.
• Excellent attention to detail.
• Ability to work under pressure and meet deadlines.
• Afrikaans required for most communication.
• Ability to work in male dominated environment and be resilient.
• Ability to walk around as this is not a desk job alone.
• Experience within a rigging, lifting, engineering, construction, mining, logistics, or industrial environment.
• Knowledge of lifting equipment and rigging practices.
• Relevant administration or supply chain strong experience.

Experience:

Rigging Administration:

•             Maintain all rigging department documentation.

•             Process job cards, work orders, and project documentation.

•             Prepare and maintain rigging equipment registers.

•             File and maintain lifting equipment certificates and inspection records.

•             Assist with customer and supplier documentation.

•             Prepare quotations and supporting documentation where required.

•             Maintain accurate records of rigging assets and equipment.

Sage X3 Administration:

•             Capture and process stock movements.

•             Process goods received notes (GRNs).

•             Process stock issues and stock transfers.

•             Create and maintain item master records.

•             Generate stock and inventory reports.

•             Investigate stock variances and discrepancies.

•             Assist with month-end stock procedures.

•             Ensure accurate system transactions and record keeping.

Inventory and Stock Control:

•             Monitor stock levels and reorder requirements.

•             Conduct regular stock counts and cycle counts.

•             Investigate stock shortages and surpluses.

•             Reconcile physical stock to system stock.

•             Monitor high-value rigging equipment and consumables.

•             Assist with stock audits and annual inventory counts.

•             Ensure proper control and safeguarding of stock.

Reporting and Data Analysis:

•             Prepare daily, weekly, and monthly reports.

•             Maintain stock movement reports.

•             Analyse stock usage trends.

•             Assist management with operational reporting and quotes.

•             Produce accurate management information using Excel.

Excel Responsibilities:

•             Pivot Tables

•             VLOOKUP / XLOOKUP

•             IF Statements

•             Conditional Formatting

•             Data Validation

•             Advanced Filtering

•             Charts and Graphs

•             Spreadsheet Reconciliations

•             Data Analysis and Reporting

General Administration:

•             Answer and manage departmental correspondence.

•             Schedule meetings and maintain records.

•             Maintain filing systems.

•             Assist with audit requests.

•             Ensure compliance with company procedures and policies.

•             Provide administrative support to the Rigging and Operations teams.

Knowledge & Skills:

•             Stock accuracy maintained above target levels.

•             Timely processing of Sage X3 transactions.

•             Accurate reporting.

•             Minimal stock variances.

•             Compliance with filing and record-keeping requirements.

•             Timely completion of administrative tasks.

•             Successful support of operational and rigging activities.
