SUMMARY:
ACCOMMODATION OPERATIONS COORDINATOR
(6-month contract role)

SOMERSET WEST: Our client, an established boutique accommodation property, is seeking a hands-on and organised Accommodation Operations Coordinator to coordinate the day-to-day guest and property operations, ensuring excellent guest experiences, high presentation standards and the smooth coordination of housekeeping, maintenance, bookings and service providers. This is a 6-month contract role.

POSITION INFO:
Purpose: To coordinate the smooth day-to-day operation of the property, ensuring excellent guest service, high standards of presentation and cleanliness, effective housekeeping and maintenance coordination, and accurate administration.

This is a 6-month contract role

Key Responsibilities

• Coordinating the day-to-day operation and overall presentation of the property
• Conducting regular inspections of apartments, common areas, gardens and facilities
• Managing guest communication, enquiries, check-ins, check-outs and complaints
• Managing bookings, availability and guest communication via online booking platforms
• Monitoring occupancy, rates and booking calendars
• Scheduling and coordinating housekeeping staff and ensuring apartments are guest-ready
• Controlling linen, towels, toiletries, cleaning supplies and other consumables
• Identifying maintenance requirements and coordinating contractors and service providers
• Obtaining quotations, following up on repairs and maintaining maintenance records
• Monitoring property safety, security, fire and gas-related requirements
• Liaising with suppliers and contractors and checking invoices against work completed
• Monitoring operational expenditure and maintaining accurate property records
• Preparing basic operational, occupancy, maintenance and expenditure reports
• Maintaining a consistently high standard of property presentation, facilities and guest amenities
• Identifying and resolving operational issues proactively before they impact guests
• Providing regular feedback to management regarding outstanding issues and required expenditure
• Assisting with urgent guest, maintenance, security and emergency matters after hours when required

• Previous experience in guest house, hotel, lodge, holiday accommodation or property operations preferred
• Strong guest relations and customer service skills
• Good administrative and organisational abilities
• Computer literate, with the ability to manage online bookings and basic reporting
• Excellent communication and interpersonal skills
• Strong attention to detail and a hands-on approach
• Proactive, reliable and able to work independently
• Good problem-solving and coordination skills
• Own reliable transport preferred
• Must be comfortable with an after-hours/on-call requirement
• Candidates residing in Somerset West, Parel Vallei or nearby areas will be considered as the role requires accessibility to the property for occasional after-hours guest and operational matters
