Must have experience in organizing and coordinating complexed travel itineraries, Stadium Coordination and Liaison, and Media Coordination

 

Media Operations Coordinator: Permanent Position: Sport Industry: Cape Town

To work closely with the GM, providing administrative support to the GM and the departments’ operations and including managing media attendance and accreditation for events.

Key Results:

  • Planning, organizing, and coordinating client media conferences and media launces
  • Managing all aspects of media accreditation to client events
  • Organizing and delivering a media operations platform at client events both in preparation and during the event
  • Managing the provision of reception services at the client Head Office
  • Coordinating commercial contracting workflow
  • Maintaining commercial contact databases
  • Updating commercial rights matrices and assisting in ensuring rights delivery
  • Assisting in preparing rights sales presentations
  • Coordinating commercial and communications department suppliers
  • Screening telephone calls, enquiries, and requests, and handling them when appropriate
  • Meeting and greeting visitors at all levels of seniority
  • Organizing and maintaining diaries and making appointments
  • Dealing with incoming email, faxes, and post, often corresponding on behalf of manager
  • Taking dictation and minutes
  • Carrying out background research and presenting findings
  • Producing documents, briefing papers, reports, and presentations
  • Organizing and attending meetings and ensuring their manager is well-prepared for meetings
  • Organizing travel and preparing complex travel itineraries Organizing travel and preparing complex travel itineraries
  • Liaising with Clients, suppliers, and other staff
  • Devising and maintaining office systems, including data management, filing
  • Arranging travel and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations.

Experience/Expertise/Qualifications:

  • Secretarial/Administration Certification
  • 3-year qualification in management/communications/commercial: essential
  • 3 - 5 years’ work experience as an executive secretary or administrator: essential
  • 3 years of project management experience is essential
  • Experience in contract management is essential
  • Writing experience will be an advantage
  • Supervisory experience is essential
  • Working at a stadium is essential
  • Media operations and media accreditation essential
