POSITION INFO:
Job Summary:
Responsible for overseeing all warranty, maintenance contract, and related claims processes for the workshop, ensuring compliance with company standards and timely resolution of discrepancies. Manages parts handling, supplier documentation, creditors control, and administrative tasks to support efficient workshop operations. Acts as a key liaison between the workshop, parts department, bookkeepers, and service advisors, while assisting the Workshop Manager in daily operational and customer service functions.
Key Responsibilities:
- Monitor and track all claims submitted to Company and ensure claims are paid on time, following up on discrepancies.
- Ensure that parts requested by Company for safekeeping are processed accordingly.
- Timeously submit to Company all warranty, PDI and relevant Maintenance Contract claims whilst adhering to all Company standards.
- Report on a daily basis on the status of all claims to management.
- Report on a weekly basis on outstanding settlement bill payments.
- Maintain and control of sublet orders, local parts orders, workshop consumables, warranty parts returned/received and store control, monthly reports Service Centre — Pinetown.
- Supply branch bookkeeper with all necessary documentation pertaining to a sublet or supplier who requires payment.
- Liaising with the parts department when parts are required for a warranty job.
- Ensuring that workshop staff provide the correct documentation such as the CCC's, job card and photos for each claim.
- Assisting the service advisor when required for handling enquiries, booking of services, etc.
- Up-to-date administration.
- Participate in the recommendation of additional needs.
- Participate in informing the orderer about the delivery date and price.
- Compare the completion date with the collection date, specify costs and compare these with the order limit.
- Conduct checks and optimize the workshop loading of service resources, check availability and any conflicts.
- Participate in acceptance of the parts request and vehicle identification.
- Workshop creditors control.
- Petty cash allocations on job orders.
- Working closely with bookkeepers with regards to workshop-related paperwork.
- Assisting the service advisor when required for handling enquiries, booking of services, etc.
- Assistant to Workshop Manager.
Minimum Requirements:· Matric or higher
· Min 2- 3 years' experience in similar role
· Warranty Experience
· Code 8 licence
