SUMMARY:
The focus of this role will be to assign, coordinate and schedule Clerks to Account & Audit Managers and Partners in the most effective manner, therefore meeting with all Operational requirements.

POSITION INFO:

This independent Auditing, Accounting and Advisory firm that operates in Southern Africa with associated independent member firms in Johannesburg and Durban is looking to appoint a Staff Allocation Manager at their Cape Town Office.

 

Minimum Requirements:

 

  • Completed Senior Secondary Qualification (NQF4)
  • Relevant completed 3-year tertiary qualification (Preferably Financial/Accounting/Auditing) will be advantageous
  • Preferably have 3-5 years’ senior administrative experience within a direct accounting and auditing environment
  • Must have strong Coordination and Administration Skills
  • Fully Computer Literate in Microsoft Office (Intermediate/Advanced Excel Skills)
  • Own transport with a valid driver’s licence will be advantageous

 

 

Key Performance Areas will entail but not be limited to:

 

Management of Accounting/Auditing Clerks allocation and unallocated Clerks processes

  • Manage/coordinate work schedules process, ensuring Clerks is allocated appropriately, finalising tasks and meeting client expectations
  • Ensure work schedules are update and accurate
  • Manage system, determine if audits will take place to plan work schedules for Clerks– communicate work schedules to Clerks, Account & Audit Managers and Partners
  • Ensure that all Clerk, Account & Audit Managers and Partner queries are resolved pertaining work schedules and ad-hoc reallocations
  • Coordinate with relevant departments to schedule training sessions
  • Responsible for Clerk placements (vacation/shadow workers, secondees etc.)
  • Review travel costs, leave requests, Clerk meetings and trainee Clerk appraisals
  • Collaborate with relevant departments regarding Clerk departures

Administrative Management

  • Manage annual client reallocations process and handover between Clerks and Managers
  • Ensure reallocation changes on Greatsoft and Workpool database timeously
  • Redirect internal/external queries appropriately and timeously

Monitoring

  • Manage progress of reporting system to ensure Clerk/Account & Audit manager allocation and workload distribution is sufficient
  • Formulate solutions and action plans to any problems identified
  • Manage all exception reports re; allocation of Audit and Accounting Service Dept. Clerks on projects (all engagement types, special projects, e.g., stock takes, DTI’s, etc.)
  • Report directly into the Work in Progress Manager and assist with ad hoc duties
