PURPOSE OF THE ROLE:
The Senior Project Coordinator is responsible for the full coordination, management and operational oversight of assigned learnerships, skills programmes, workshops and training interventions. The role owns the project lifecycle from initiation and planning through implementation, learner engagement, reporting, compliance coordination and final closeout.
The position serves as the central operational link between clients, learners, facilitators, assessors, moderators, Quality Control and internal operational teams, ensuring successful project delivery and compliance alignment.
KEY RESPONSIBILITY AREAS:
Project Planning & Coordination
- Manage the full lifecycle of assigned learnerships, skills programmes, workshops and training interventions.
- Take ownership of current and handed-over learnership projects.
- Develop, maintain and monitor project plans, schedules, trackers, timelines and deliverables.
- Coordinate facilitator scheduling, learner inductions, venues and implementation planning.
- Maintain project folders, templates, trackers and administrative documentation.
- Ensure project deliverables are completed within agreed timelines and client expectations.
- Complete project closeout and departmental handovers effectively.
Stakeholder Engagement & Client Communication
- Act as the primary liaison between clients, learners, facilitators, assessors, moderators and internal departments.
- Coordinate learner inductions and regular client and learner engagements.
- Schedule and document meetings and operational discussions.
- Provide monthly progress reports and operational updates to clients.
- Obtain and document client feedback.
- Communicate professionally regarding project progress, deliverables and operational matters.
- Escalate risks, delays and operational concerns with proposed mitigation plans.
Compliance & Quality Coordination
- Ensure assigned projects comply with SETA, QCTO, internal SOPs and operational requirements.
- Maintain accurate learner records, attendance registers, assessment documentation and induction records.
- Ensure learner enrolments, approvals and supporting documentation remain up to date.
- Maintain readiness for audits, verification visits, moderation activities and compliance reviews.
- Notify Quality Control when POEs and assessment documentation are available for quality checks.
- Keep LMS and learner management systems accurate and up to date.
- Identify and report compliance concerns, quality risks and potential non-conformances.
Reporting & Operational Oversight
- Maintain dashboards, trackers and reporting systems for assigned projects.
- Complete accurate monthly progress reports within required timelines.
- Coordinate internal feedback sessions with Quality Control, Operations, General Management and Sales.
- Monitor project performance against deliverables, timelines and client expectations.
- Provide learner progress updates, attendance reports and operational summaries.
- Ensure internal and external reporting requirements are consistently met.
Risk & Resource Management
- Identify, assess and mitigate project risks proactively.
- Escalate operational, compliance and resource constraints when required.
- Implement contingency plans to minimise disruption to project delivery.
- Monitor schedules, outstanding actions and deliverables to ensure continuity.
- Track and resolve project risks and outstanding matters within agreed timelines.
- Support operational efficiency through proactive planning and coordination.
MINIMUM REQUIREMENTS:
- NQF Level 5 qualification in Project Management, Education, Business Administration or a related field is preferred.
- Minimum 4–5 years’ experience coordinating learnerships, training projects or development programmes.
- Strong understanding of SETA, QCTO, compliance and quality assurance processes.
- Proven experience in project coordination, reporting, stakeholder engagement and administration management.
- Strong organisational, administrative and communication skills.
- Proficiency in Microsoft Office, LMS platforms and project management systems.
- High attention to detail, accountability and problem-solving ability.
- Ability to manage multiple projects simultaneously within operational deadlines.
- Ability to work independently while maintaining strong collaboration across departments.
TRAINING & DEVELOPMENT EXPERIENCE:
- Learnership and skills programme coordination.
- Training project administration and learner support.
- SETA-related programme administration and compliance.
- QCTO processes and occupational qualification environments.
- Coordination with facilitators, assessors and moderators.
- Learner attendance, progress, assessments and supporting documentation.
- POE/documentation readiness, verification, moderation and audit preparation.
- LMS and learner management system administration.
- Client reporting and stakeholder engagement within training projects.
ADVANTAGEOUS EXPERIENCE:
- Experience working for a Skills Development Provider (SDP), training institution or corporate Learning & Development department.
- Experience with SETA-funded programmes.
- Experience supporting SETA/QCTO verification or audit processes.
- Experience coordinating multiple learner groups and training projects at the same time.
- Strong Microsoft Excel and reporting capability.

WORKING CONDITIONS:
- Office-based position at Tyger Valley, Cape Town.
- Candidates must reside in Cape Town or be able to reliably commute to the Tyger Valley office.
- Core working hours: 08:00 – 16:30, Monday to Friday.
- Flexibility may be required based on project and operational needs.
- Occasional travel may be required to training venues, client sites, SETA/QCTO engagements and operational meetings.
