Sales and Administrative Assistant - Hybrid Position

SUMMARY:
Our client in Paarl is looking for a Sales & Administrative Assistant to support the business with a variety of sales, customer service, marketing, financial and general administrative functions.

POSITION INFO:
Key Responsibilities
Existing Client Management
Communicate with existing clients and assist with day-to-day queries.
Prepare and send quotations and invoices.
Provide product specifications and relevant product information.
Process and manage customer orders.
Arrange deliveries and coordinate logistics.
Follow up with clients to ensure orders and services meet their expectations.
Maintain professional and positive client relationships.

New Business & Sales
Identify and approach potential new clients.
Assist with generating new business opportunities.
Provide prospective clients with information about Luuks Studio and its products.
Follow up with leads and assist in bringing new clients onto the customer base.

Online Marketing & Orders
Assist with online marketing activities.
Create and post content, including Instagram posts and stories and content for other social media platforms.
Receive and process online and direct customer orders.
Communicate orders to production and ensure they are correctly placed.
Coordinate completed orders and deliveries.
AI proficiency and confidence in using AI tools will be a significant advantage.

Financial Administration
Capture and record customer payments.
Send customer statements.
Assist with general customer financial communication.
Communicate price increases and other relevant pricing information to clients.
Assist with other basic financial administration as required.

General Administration
Provide general administrative support to the business.
Maintain organised customer and order records.
Assist with any other administrative duties that may arise from time to time.
Be flexible and willing to assist across different areas of the business when required.

Requirements & Qualifications
The ideal candidate will have:
Strong computer literacy and confidence using digital systems.
Proven ability and confidence in using AI tools.
Knowledge of Pastel or another financial/accounting system will be advantageous.
Excellent email etiquette and professional written communication skills.
Strong organisational and administrative abilities.
A structured, detail-oriented and well-organised personality.
Good interpersonal and communication skills.
A valid driver's license.
A post-school qualification in Sales, Administration or a related field will be advantageous.
A willingness to learn and develop within a growing business.
A proactive, energetic and positive attitude.

The position is not fully office-based. The successful candidate will be required to work from the office approximately 2 days per week, with the remaining working days able to be completed remotely/online.

The candidate should therefore be comfortable working independently, managing their time effectively and communicating remotely when working off-site.
