SUMMARY:
Sales Administrator

POSITION INFO:

Key Performance Areas - KPA`s

Liase with Customers

Deal with general customer admin issues.

Update Customer data base with:

- Contact details etc.

Communicate delivery dates to SC customers - Only when there’s delays or complications otherwise done by Orders Admin.

Check SVO for updated shipping dates for SC & OC orders and update report for Order Admin to notify customers of ETA‘s

Collect & forward documentation required for new accounts.

Provide customers with technical datasheets and information.

Prepare Quotations and Sales Contracts

Prepare Sales Contracts (One-grade-one-customer supplies) /Quotations.

Forward Sales Contract to Financial Director for authorization and inform Finance department to book Forex cover.

Forward contract to Customer/Sales Rep.

Inform Admin staff when contract is signed.

Prepare Pro-forma invoice

Prepare Customer price letters

Update Price Letters based on most recent pricing and distribute to relevant customers.

Calculate Costing and Selling Prices for Sales Contracts

Using the standard costing template calculate costing and Selling prices for AP Sales Contracts.

Update Customer Forecasts

Update Customer Forecasts and and communicate it to Shipping to update SVO Focus on 20/80 customers.

Drive AP Internal Sales

Follow Sales Orders (Actual Orders placed and Forecasted) and liase with customers to confirm the accuracy of these orders.

Analyse monthly Sales reports and identify lossed sales.

Follow up with customers to identify reasons for lost business and communicate the above with AP Sales teams.

Operations

Receives customer Orders and arrange deliveries

Confirm stock availability

Check Account status

Process PDP in Streamline

Process AP Sales Order

Issue SO to customer and confirm delivery

Expedite Daily deliveries to ensure completion thereof

Manage Direct loads
