Position Title

Sales and Client Support Administrator

Reports To

Sales Director Manager

Purpose of the Role

The Sales, Payroll and Client Support Officer is responsible for providing administrative and operational support across sales, payroll processing, and client service functions. The role ensures accurate payroll administration, effective sales support, and exceptional client experiences while maintaining compliance with company policies and procedures.

Sales Support

• Conduct market research on clients.

• Make calls to obtain information about decision makers.

• Make appointments.

• Compile reports.

• Track calls and follow up on calls to clients.

• Prepare packs for new clients.

• Prepare quotations, proposals, and sales documentation.

• Maintain customer records within the CRM system.

• Assist with lead management and follow-up activities.

• Generate sales reports and performance summaries.

• Coordinate communication between sales teams and clients.

• Track customer renewals, contracts, and service agreements.

Payroll Support

• Gather and verify employee payroll information

• Process payroll inputs include overtime, leave, bonuses, deductions, and commissions

• Maintain payroll records and employee information

• Assist with payroll reconciliations and reporting

• Ensure payroll deadlines are met accurately and on time

• Respond to payroll-related employee queries

• Support compliance with statutory and labor regulations

• Monthly Month-End Reports

• Weekly Marketing Reports

• Quotation, invoicing

• Debtor Recovery;

• Filing systems;

• Data base management; and

• Compiling and submitting wage requests to the Accounts Department;

• Payroll and salaries.

Client Support

• Serve as the first point of contact for client inquiries.

• Respond to client requests via phone, email, and support platforms.

• Log, track, and resolve customer issues.

• Escalate complex matters to appropriate departments.

• Maintain strong client relationships through proactive communication.

• Assist with onboarding new clients.

General Administration

• Provide support for the Client account by keeping track of all invoices, reports and timesheets.

• Follow up with client on all outstanding documents.

• References and CVs.

• Assisting with answering incoming calls;

• Proactive and lateral thinking in order to facilitate the growth and development of the division turnover, profitability, increasing client base, areas of specialization etc.);

• Problem solving and trouble-shooting;

• Quality control; and

• Streamlining / improving / changing of systems in use with prior Company approval.
