Reservations & Events Coordinator

SUMMARY:
Luxury Wine Estate close to Stellenbosch is looking for a is looking for a Reservations & Events Coordinator responsible for managing all aspects of the accommodation and restaurant reservations as well as estate events and bookings, ensuring a seamless and exceptional experience for guests.

POSITION INFO:
Reservations:
 
Managing all incoming emails, phone calls and messages.
Be fully conversant with all rates and pricing.
Ensure that all clients / guests and reservations are handled efficiently through effective office operating systems.
Ensure that all reservations and event records are filed accurately and can be retrieved promptly.
Ensure that bookings for each day are checked prior to arrival for accuracy and confirmations.
Provisionals to be managed correctly and ensure that expired reservations are released.
Ensure all Special Attention Guests and dietary requests are dealt with accurately.
 
Restaurant Reservations:
 
Manage all reservations and proceed with follow up calls to confirm restaurant bookings.
 
Estate Events:
 
Finalise menus approved by the Head Chef and Restaurant / F&B Manager.
Organize and manage in-house events and functions.
Responsible for all pre-event correspondence and coordination
Conduct site inspections with potential clients
 
Requirements:
 
Grade 12.
A relevant tertiary qualification (Diploma or Degree)
At least 3 years’ Events / Reservations experience in either Relais & Chateaux or 5* establishment.
Experience working with Dineplan (or similar system).
Excellent computer (MS Office packages) and administrative skills.
Excellent ability to pay attention to detail.
Stress tolerance & able to work under pressure.
Excellent interpersonal and communication skills in English.
Strong customer service orientation with excellent people skills.
Excellent telephone etiquette.
Planning & organizing skills.
Able to work weekends and public holidays.
Able to take responsibility and work independently.
Honest, reliable and adaptable.
Own reliable transport.
Comfortable in dealing with very distinguished clientele.
