SUMMARY:
Repairs Administrator required to receive returns, dispatch good to international suppliers, ensure stock is issued to technicians is recorded.

POSITION INFO:

Return Merchant Authorisation (International Warranty Accounts)

  • Receive all RMA RTS’s and RDR’s and process for RMA exchange.
  • Ensure the correct stock is received in the correct packaging with all accessories.
  • Ensure any/all shortages are documented.
  • Ensure all RMA return items are captured via stock code and serial number as per the RMA packing list.
  • Ensure all goods for RMA dispatch to international suppliers are prepared and packed correctly.
  • Ensure all RMA return goods are received and checked against original packing lists.
  • Ensure all stock issued to technicians is recorded on a register on a daily basis.
  • Ensure stock is moved to the correct stock location daily.
  • Ensure all stock for RMA is packed correctly for dispatch daily.
  • Assist technicians with spares requirements daily.

 

Receiving and dispatch repairs and RTS stock    

  • Ensure the dispatch sheet from the repairs programme for the branch deliveries are printed daily.
  • Ensure the stock is correct as per dispatch list.
  • Ensure every stock item is accompanied with the relevant paperwork.
  • Ensure all stock dispatched has a driver signature to ensure the stock was taken.
  • Ensure all RTS stock is sent back to the branch with the correct Inter Branch Transfer document.
  • Ensure all items are documented on the dispatch sheet.
  • Ensure all documentation is filed as per the document filing procedure.

 

      Receiving procedure for branches and suppliers:

  • Ensure all Repairs, RTS’d goods together with the correct documentation is received from branches and agents.
  • Ensure that each item is checked to ensure it is correct and matches the paperwork received.
  • Check RTS units completion, general condition and ensure the paperwork is correct.
  • Ensure all discrepancy to be escalated to the Repairs manager immediately.
  • Ensure that proof of deliveries of all stock sent with the drivers in the morning is returned.
  • Ensure that any proof of deliveries not returned is addressed with the Repairs Manager immediately
  • Ensure that the drivers delivery book is signed for proof of receipt.
  • Ensure all stock is moved into the correct shelves for processing.

 

The functions below will be as per Operational requirements:

  • Ensure all repairs are booked in on the Repairs software system.
  • Ensure that all repair units are checked for completion and general condition.
  • Ensure that all repairs sent to suppliers has the correct documentation.
  • Ensure all outstanding repairs are followed up using the supplier stock report.
  • Ensure that all repair quotes from supplier repair centres and from Repairs centre are obtained promptly.
  • Ensure all supplier enquiries and feedback on all repairs is received.
  • Ensure that feedback to branches for repair durations, quotes, delays and general communication is done promptly.
