About the position:

The Recruitment Assistant will be responsible for the administrative processes that underpin delivery in the Recruitment Team. This is a global role with a broad range of responsibilities and scope to add value within a busy and fast paced team.

Responsibilities:

  • Provide administration support to a busy global recruitment team split across London and Cape Town
  • Liaise with internal and external stakeholders to arrange interviews across multiple locations i.e., UK, Europe, South Africa, America and Asia
  • Own the offer administration process and send offers for signature via DocuSign
  • Process recruitment invoices and candidate expenses
  • Assist the team with preparing approval requests on a weekly basis for approvals to recruit and approvals to hire
  • Manage the recruitment inbox and respond to speculative CVs and ad-hoc emails
  • Support Recruitment Managers with graduate recruitment cycle
  • Ensure all templates are updated and saved (e.g., job descriptions etc.)
  • Ensure preferred supplier list folders are kept up to date
  • Applicant Tracking System (ATS) administration
  • Manage reporting requirements for the recruitment function

Qualifications, Technical Knowledge and Experience required:

  • Financial services or professional services industry experience (preferable)
  • Recruitment administrative experience in a fast paced, high volume environment
  • Experience with organising complex meetings across different mediums and across different geographical locations

System Skills:

  • Advanced/Expert Outlook experience
  • High level system skills, including Microsoft Word and Excel

  • Ensuring Compliance training, declarations and relevant forms are completed on a timely basis
  • Ensuring that firm and client data and property, including IT data, are properly protected
  • Reporting any possible and actual breaches, errors, complaints or conduct issues
  • Reporting any suspicion that a client, investor, or employee may be involved on money laundering fraud or other crime such as market abuse
