PROPERTY MAINTENANCE ADMINISTRATOR
Retail & Industrial Property
Century City, Cape Town
Salary: R12 000 â R19 000 per month, depending on experience
Are you the person who remains calm when a geyser bursts, a tenant needs urgent assistance and several contractors are waiting for instructions?
A well-established property business is looking for a highly organized and proactive Property Maintenance Administrator to coordinate maintenance across its retail and industrial property portfolio.
This is a hands-on coordination role - not a routine filing position. You will be the central link between tenants, property teams, contractors and suppliers, ensuring that maintenance requests are handled promptly, professionally and all the way through to completion.

POSITION INFO:
Responsibilities:

Receive, assess and prioritize maintenance requests.
Create job cards and coordinate planned and reactive maintenance.
Obtain quotations and allocate work to approved contractors.
Dispatch contractors for urgent and emergency repairs.
Follow up consistently until repairs are completed and verified.
Keep tenants informed and handle maintenance-related concerns professionally.
Process contractor and supplier invoices.
Assist with tenant recoveries and insurance claims, including burst-geyser claims.
Maintain accurate maintenance records on MRI or MDA.
Track maintenance expenditure, stock, spare parts and tools.
Prepare maintenance reports for management.
Maintain compliance, inspection and certification records.

Requirements:

Grade 12.
At least two yearsâ relevant maintenance administration experience.
Previous experience in retail or industrial property managementâthis is essential.
Practical experience using the MRI property management system.
Strong experience coordinating contractors, tenants, job cards and work orders.
Good Microsoft Office skills, particularly Excel.
Excellent organization and multitasking ability.
Strong communication and customer-service skills.
The ability to remain composed and make sensible decisions during urgent maintenance situations.
Excellent attention to detail and disciplined follow-through.

Working Hours:
Monday to Friday: 08:00â17:00
The successful candidate will be required to be on standby every second weekend to receive emergency calls and dispatch contractors when necessary.
