SUMMARY:
The Property & Lease Accounting Clerk will manage the full lease administration and accounting lifecycle for the group’s property management companies. This role is responsible for maintaining accurate tenant ledgers, managing lease schedules, billing, tracking escalations, and assisting the Group Finance Manager with monthly property financial reporting and reconciliation.

Key Responsibilities

Lease Administration & Compliance

Set up and maintain accurate digital records of all commercial and residential lease agreements, amendments, and renewals.
Track critical lease dates, including lease starts, expirations, option renewals, rent escalations, and CPI adjustments.
Ensure tenant billing complies strictly with contract terms and relevant accounting standards.

Tenant Billing & Ledger Management

Generate and distribute monthly rent rolls, utility recharges (electricity, water, refuse), and municipal recoveries.
Maintain tenant accounts receivable, performing daily cash allocations and tenant ledger reconciliations.
Monitor arrears, send payment reminders, and liaise with property managers on outstanding balances.

Financial Reconciliations & Reporting

Reconcile tenant deposit accounts and handle refund processing or deductions upon lease termination.
Reconcile monthly rental streams against bank statements.
Assist the Group Finance Manager with month-end property management accounts, variance analysis, and accruals/prepayments related to leases.

Creditor & Operational Support

Assist in reviewing and matching municipal accounts, supplier invoices, and property maintenance expenses against recoveries.
Provide support for internal and external audit requests related to lease documentation and tenant balances.

Qualifications & Requirements

Education: Diploma or Bachelor’s Degree in Accounting, Finance, Real Estate, or a related field.
Experience: 2–4 years of experience in property accounting or specialized lease administration.
Software Proficiency: Hands-on experience with property management software (e.g., MDA Property Manager, MRI, Yardi, Pastel, or Xero) and advanced MS Excel skills (VLOOKUPs, Pivot Tables).
Skills: Strong attention to detail, numerical accuracy, solid understanding of lease terms/escalations, and clear professional communication.
