Portfolio Manager Assistant

SUMMARY:
This company is looking for a proactive and highly organised Portfolio Manager Assistant to take full ownership and accountability for the daily administration, coordination, and compliance of a Portfolio Manager’s fast-growing life and investment book. The successful individual must work methodically and strategically while demonstrating excellence in office management, administration, and service delivery.

POSITION INFO:
You will act as a key point of contact for clients, providers, and internal teams—ensuring that all new business, client queries, and administrative functions are processed efficiently, accurately, and in line with compliance standards.

Key Responsibilities

• Provide comprehensive administrative support to the Portfolio Manager and Private Client Team.
• Manage scheduling, calendars, and meeting coordination for the Portfolio Manager.
• Prepare documentation for client meetings, policy schedules, and investment reviews.
• Maintain up-to-date and accurate client records, ensuring strict adherence to confidentiality and regulatory requirements.
• Apply FICA and FSCA compliance knowledge when processing client information.
• Liaise with service providers to ensure smooth onboarding and account setup.
• Respond promptly to client, Wealth Manager, and internal team queries via email and phone.
• Monitor and escalate any discrepancies or delays to management.
• Process client transactions, including switches and top-ups.
• Coordinate travel arrangements and prepare expense reports where necessary.
• Support the team with departmental ad hoc duties as needed.
• Ensure client records are consistently accurate and compliant.
• Uphold high levels of service and professionalism in all client-facing interactions.

Minimum Requirements

• Matric (Senior Certificate) – essential
• A tertiary qualification in Finance, Investment Management, Business Administration or related field – preferred
• 2–3 years’ investment administration or paraplanning experience within the financial services industry
• Sound knowledge of FICA, FAIS, and other regulatory compliance frameworks
