JOB DESCRIPTION:

An international digital media and LED technology company is urgently seeking a Personal Assistant to the Business Development Director for their new branch in Cape Town.

Requirements:

-        Matric (Essential)

-        3 years’ experience as a Personal Assistant (Essential)

-        Advanced Word, Excel, creating documents and letters (Essential)

- International Experience / Experience working abroad as a PA

-        Digital mediate and LED technology industry experience

-        Above average computer literacy

-        Above average proficiency in PowerPoint, Google Docs, Insight, internet and electronic data

-        Degree / Diploma / Higher Certificate / National Certificate / N4 – N6

-        Secretarial experience in the education sector (highly preferable)

 

Responsibilities:

-        Process contracts for contracted services

-        Create flyers, PowerPoints and memo’s for events

-        Manage and coordinate calendar of events

-        Answer and screen incoming calls, take messages, route to appropriate staff

-        Maintain directors schedule via google calendar

-        Keeping director informed of ongoing schedule changes, having relevant material/data available for each appointment

-        Draft correspondence (letters, memos, emails, agenda’s etc)

-        Make various conference, hotel and travel reservations and prepare travel reimbursement expense payment authorizations

-        Order and maintain office supplies and materials as well as renew annual maintenance contracts for office equipment

-        Assist with data and research

-        Ad hoc duties wherever required / assigned
