Main Purpose

To manage the office of the Managing Director efficiently

Key Performance

Support the MD’s office in the following:

Areas:

 

 

 

Secretarial Support

  • Acting as a trusted point of contact among executives, employees, clients, and other external partners

 

  • Plan, organise and co-ordinate the MD''s schedule

 

  • Ensure to be proactive rather than reactive in the management and planning for the MD’s office, ability to act without supervision

 

  • Ensure necessary reports and travel arrangements are managed effectively including producing a daily diary run through flagging highlights, necessary reports etc. and troubleshooting problems
  • Conduct consistent meetings with the MD to discuss upcoming engagements, invitations and other requests.
  • Schedule on behalf of the MD meetings between her and her direct reports and the committees and groups to which she is a member.
  • Schedule on behalf of the MD, with the assistance of the company secretary the Board, Audit & Committee meetings suitable to the MDs planning
  • Adequately assist the MD to attend to matters arising

Office Administration and Coordination

  • Ensure the coordination of a proper functioning senior office
  • Compile and coordinate documentation for meetings as required
  • Liaise and maintain relationships with key stakeholders like ICASA, the Board of directors and their PA’s, the NAB,

Mediamark, etc. to ensure accurate coordination of stakeholder engagements

Events Coordination/ Management

  • Maintain calendar of events
  • Coordinating arrangements for workshops, conferences, and other function
  • Liaise with stakeholders on the planned events and requirements

Documents and records Management

  • Implement a document tracking system
  • Keep an accurate record of all documents, meetings, audit reports and board and committee meetings

 

Qualifications /

NQF level 7 qualification in Office Management or Public Administration or related

Education/Experience:

Minimum of 3 years'' experience in secretarial or administration functions for Executive /Senior Management support

•   Flair for stakeholder engagement

 

•   Eye for errors – including spelling and grammar

Skills and Knowledge:

Excellent People Management skills

 

•   Exceptional computer skills (Ms Word, Excel, PowerPoint)

 

Excellent record keeping skills

 

Excellent and Fluent communication skills in the languages of the station

 

Knowledge of media industry would be an added advantage
