SUMMARY:
Our very well established Client requires your mature attitude and many years of experience supporting a Director within all aspects of a business which will involve operational, financial, human resources support and general administration. 

Based in the Southern Suburbs we require your integrity, attention to detail with excellent command of the English language, written and spoken, to assist in all areas of the business.

JOB DESCRIPTION:

REQUIREMENTS

  • Matric, relevant secretarial qualification highly advantageous
  • Ability to manage tasks one step ahead of a Manager
  • Highly organised
  • Efficient with tasks and deadline orientated
  • Ability to be confidential in all matters
  • Good Word, Excel and PowerPoint skills
  • Excellent grammar for correspondence and good typing skills
  • Sense of Responsibility towards the job
  • Must have initiative, integrity and produce good quality work with a positive attitude
 
DUTIES
 
  • Providing efficient and confidential operational, financial, personal and administrative support to the Director
  • Attending to secretarial, IT and human resource tasks and projects
  • Ensuring that all company documents requiring the Directors attention/signature are dealt with timeously and returned to the relevant person
  • Administrative duties for the group of companies with regards the shareholders and owners
  • Administration of the group of company’s cell phone contracts & upgrades,
  • Administration and maintenance of all printers and computers
  • Development and management of data management system
  • Authorisation of IT and telephony monthly invoices, IT procurement including budget and asset control
  • Assisting CEO in communication and reporting to staff, clients and suppliers always maintaining positive relationships on behalf of the CEO
  • Controlling and maintaining company documentation pertaining to systems, contracts and procedures in the Master folder and distributing to the relevant company folders
  • Ensure effective and efficient service to all tenants on property portfolio
  • Monitor existing lease agreements/dates, and co-ordinate increases, deposit ‘top ups and renewals
  • Upkeep of the tenant database& the property companies’ administration
  • Authorizing and distribution of tenant invoicing
  • Administration of the groups monthly municipal accounts
  • Assisting in the company’s recruitment process, liaising with recruitment agencies, advertising positions and co-ordination of interviews
  • Assisting staff with regards general computer and other administration
  • Assistance compiling marketing material for websites and advertisements
