Personal Assistant

JOB DESCRIPTION:

GENERAL

  • Location: Office-based in Newlands
  • Reporting to: Managing Director
  • Hours of work: 8.30am – 5.00pm (Mon-Fri) very little over time within the office.

A boutique asset management company built on the traditional international private banking model is looking for an energetic Personal Assistant who is a team player, willing to learn and to provide broad-based support to their Managing Director.

Provide support to Managing Director (business and personal) & other senior members from time to time, as required.
Maintain calendar through effective diary management (schedule meetings and provide reminders).
Schedule and record minutes of meetings when required.
Support the office manager at reception as and when required
Perform any ad hoc duties that may arise from time to time.

Reception desk and basic admin, welcoming clients, screening of calls
Plan and book all travel arrangements and accommodation
Maintain records/filing, both physical and electronic.
Keep record of monthly income and expenses.
Monitor all requests, identify those that need urgent attention and escalate accordingly.

Matric is essential

Must have at least  2 years’ experience in a similar role with excellent administrative skills.

Financial background is advantageous 

  • Ability to communicate telephonically in an effective and professional manner.
  • Excellent verbal and written communication skills with the ability to liaise with clients and service providers across all levels of seniority.
  • High level of professionalism with ability to serve as a brand ambassador
  • A flexible, self-driven individual who is able to work autonomously while maintaining open channels of communication with the team.
  • Customer focused and friendly with a passion for service excellence
  • A team player willing to go the extra mile for the good of the team. 
  • Accurate with strong attention to detail
  • A proactive individual who uses their initiative to ensure service and performance are always to the highest of standards.
  • Flexible and adaptable with the ability to manage changing work requirements and varying volumes of work.
  • Self-starter with forethought and ability to multitask
  • A positive approach with a willingness and hunger to learn.
  • Computer Literate, proficient in MS Office, specifically MS Excel with the ability to learn new systems.
  • Trustworthy and honest with the ability to manage confidential information in a discrete and sensitive manner
  • Driver’s licence and own transport essential
