SUMMARY:
A Personal Assistant vacancy is available at our Client, Wits Health Consortium's Perinatal HIV Research Unit (PHRU) in Soweto, Johannesburg.

POSITION INFO:

Background 

The Perinatal HIV Research Unit (PHRU) was established in 1996. The Perinatal HIV Research Unit has been involved in research, training, policy formation and advocacy in issues concerning HIV-positive women and their children.

In recent years the work of the unit has expanded beyond the original focus of mother-to-child transmission of HIV, to include treatment trials in adults and children, prevention research, psychosocial research and policy development. In addition, the Unit has developed an HIV vaccine clinical trials unit (HVCTU) and started with HIV Vaccine Trials back in 2001.

The unit is recognized nationally and internationally as a leader in the field of research and policy in the area of mother-to-child transmission of HIV. It has also developed a reputation as a leading African research unit for clinical trials in adults and children with HIV, with one of the largest cohorts.

Main purpose of the job

  • To provide administrative support to the Executive/s for which they are responsible 

Location

  • Chris Hani Academic Hospital, Soweto, Bara Cardiology Unit

Key performance areas

  • Facilitate full control of Diary Management ensuring optimal prioritizing of appointments and time management occur to enhance and support the Executives time planning and delivery of outputs
  • Meet with Executives as regularly as required to best enhance diary management support
  • Devise and maintain office systems e.g. data management and filling to ensure efficiency
  • Fulfill all secretarial duties timeously, ensuring due care to accuracy and quality i.e. Generation of letters, formatting of publications as required, faxes, emails, photocopies, screen phone calls, inquiries and requests and handle them appropriately
  • Provide professional, efficient service to internal and external customer service to all stakeholders
  • Ensure an understanding of Time Zones in order to accurately arrange relevant meetings with implications
  • Take ownership and accountability for tasks & activities and demonstrates effective self-management
  • Willing to help others and go the extra mile to meet team targets and objectives
  • Handle stress in ways that do not negatively impact the team 

Required minimum education and training

  • Grade 12
  • Office Management/Administration Diploma

Required minimum work experience

  • A minimum of 2 years working experience within an Office Management/Administrative role
