SUMMARY:
A top end design and decor house seek a Personal Assistant to join their team in the Ballito area.

POSITION INFO:

Responsibilities: 
  • Assisting Management with Diary planning and keeping inbox organised and everything responded to in timely manner.
  • Process Directors correspondence and ensuring that incoming correspondence is dealt with on or on behalf of.
  • Managing office systems including data management and filing
  • Produce documents, briefing papers, reports and presentations for director
  • Organizing meetings and ensuring director is well prepared including agendas, pre meeting briefs and papers and to have tools ready for meetings and site visits.
  • Managing quotes and costings with suppliers- checking costings, updating of folders and payment schedules
  • Office management (Computers, software and working with IT on any office requirements)
  • Printing of plans from  designers on a daily basis
  • Project costings- obtain notes, typing of quotes
  • Excel and planning with designers- items costed, design tender spreadsheet
  • Quote management – Checking of que and prior present to date
  • Answering switchboard and transferring calls to appropriate employees( Taking messages when required) Further duties might be required from time to time.
  • Liaising with projects, and team to management design. Update management of manager accordingly

 

Personal Attributes:

  • Excellent attention to detail, with ability to maintain a high level of accuracy
  • Flexible, pro-active approach to work including ability to prioritise and re-prioritise
  • Ability to work under pressure and take own initiative
  • Taking sensitive information with discretion and to maintain confidentially
  • Good understanding and working knowledge of presentation software, word and excel
  • A minimum of 5-7 years of experience in similar role

 

Position Requirements:

Office Hours

Monday to Thursday (8AM until 5PM)

Friday (8AM-1PM)

Saturdays (9AM-1PM- on request )

A minimum of 5-7 years of experience in similar role
