Personal Assistant

SUMMARY:
Our client, a well-established electrical and engineering company based in George, is seeking a highly organised, proactive, and professional Personal Assistant to the Director. The successful candidate will provide high-level executive and administrative support to the Director, ensuring the efficient management of daily operations, schedules, communication, and confidential business matters.
This role requires exceptional organisational skills, attention to detail, discretion, and the ability to work effectively in a fast-paced environment.

Executive Support

• Manage the Director's diary, appointments, meetings, and travel arrangements.
• Screen and prioritise emails, phone calls, and correspondence.
• Prepare meeting agendas, presentations, reports, and documentation.
• Take minutes during meetings and follow up on action items.

• Coordinate day-to-day office administration.
• Maintain accurate filing systems (electronic and manual).
• Prepare quotations, invoices, and project-related documentation where required.

• Assist with project scheduling and coordination.
• Liaise with clients, suppliers, subcontractors, and project managers.
• Track project deadlines and ensure follow-up on outstanding tasks.
• Support the Director with reporting and project administration.

• Process purchase orders and supplier invoices.
• Assist with expense claims and reconciliations.
• Support payroll preparation by collecting timesheets and leave records.

• Act as the first point of contact for clients and visitors.
• Build and maintain professional relationships with customers, suppliers, and stakeholders.
• Handle enquiries efficiently and professionally.
• Ensure excellent customer service at all times.

• Grade 12 (Matric).
• Relevant qualification in Business Administration, Office Management, Executive Assistance, or a related field (advantageous).
• Minimum 3–5 years' experience as a Personal Assistant, Executive Assistant, or Office Manager.
• Experience within the electrical, engineering, construction, or technical industry will be advantageous.
• Valid driver's licence and own reliable transport.
• Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Experience working with ERP, accounting, or project management systems will be beneficial.
