POSITION INFO:
Purpose of the Role:
To provide high-level administrative and personal support to a senior executive or manager, ensuring efficient coordination of their schedule, communication, and daily tasks. Additionally, to support the compliance function by assisting in ensuring the organization meets its legal, regulatory, and internal policy obligations.
Key Responsibilities:
Personal Assistant Duties:

Manage the executive’s diary, schedule meetings, and coordinate appointments.

Screen and manage emails, calls, and other communications.
-
Organize travel arrangements including flights, accommodation, and transport.
-
Prepare and edit documents, presentations, reports, and correspondence.
-
Take meeting minutes and follow up on action items.
-
Handle confidential documents and information with discretion.
-
Run personal errands and assist with non-business-related tasks (when required).
-
Liaise with internal departments and external stakeholders on behalf of the executive.
-
Assist in event planning, staff functions, and business meetings.
-
Monitor deadlines and ensure the executive is prepared for daily activities.
Compliance Support Duties:

Assist in maintaining compliance registers and documentation in accordance with legal and regulatory requirements.

Support the implementation and monitoring of compliance policies, procedures, and systems.

Conduct basic research on laws, regulations, and best practices relevant to the industry.

Help coordinate internal audits, compliance reviews, and risk assessments.

Track regulatory deadlines and assist in ensuring timely submissions and reports.

Maintain records of staff training on compliance-related topics.
-
Support communication and dissemination of compliance updates to relevant departments.

Liaise with external regulatory bodies and assist with responses to information requests.
Qualifications Required:
-
Matric (Grade 12) required.
-
Diploma or certificate in Office Administration, Business Management, Compliance Management, or a related field preferred.

Valid driver’s license (advantageous if the role includes errands or travel coordination).
Experience:
-
2–5 years experience in a similar role as a PA, Executive Assistant, Office Administrator, or Compliance Assistant.

Exposure to or involvement in corporate compliance or governance processes is an advantage.
-
Proven ability to manage multiple priorities in a fast-paced environment.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Experience with digital calendars, scheduling software, and collaboration tools (e.g., Teams, Zoom).
