SUMMARY:
A reputable organisation has a position for a Personal Assistant to join their team.This is a permanent position based in Pretoria.

POSITION INFO:
POSITION  :  PERSONAL ASSISTANT
AREA          :  PRETORIA
SALARY      :  MARKET RELATED

MAIN PURPOSE OF THE ROLE:
To provide a personal and dedicated secretarial support service as well as to prrovide an effective and efficient administrative support to the Head of Actuarial and Benefits Administration. 

QUALIFICATIONS, SKILLS & EXPERIENCE:

  • Matric completed
  • MUST have a COMPLETED Secretarial / Administration (NQF 5) or equivalent qualification 
  • Must have at least 5 years’ experience as a Personal Assistant for an Executive/ Senior Manager 
  • MS Office proficiency
  • Report writing experience 
  • Minute taking experience 
  • Understanding of the Pension Fund Industry 
  • Knowledge of operating standard office equipment 
  • Administrative and clerical procedures 
Duties:
  • Diary management
  • Manage the content of emails and follow up on urgent emails to ensure they are actioned accordingly by the Executive.
  • Screens telephone calls and takes messages.
  • Receives Executive’s visitors on arrival at the Company and provides refreshments for Executive’s visitors.
  • Draft and type general correspondence for Executive.
  • Quality check all typed documents for accuracy, correctness and validity before forwarding to the Executive.
  • Address queries from stakeholders and / or channels queries to correct role players.
  • Assists the Executives with work related ad-hoc tasks.
  • Book venues, arrange refreshments, meeting documents and equipment for meetings and other events.
  • Make travel arrangements for national and international travel for the Executives and Unit’s staff members.
  • Attend relevant meetings and record minutes.
  • Assist the Executive to ensure that all actions emanating from meetings are given the necessary attention.
  • Transcribe audio information.
  • Ensure adequate office supplies at all times.
  • Obtain prior approval of all expenditure required by Executive.
  • Develop a database of contacts of all stakeholders.
  • Develop good working relations with relevant personnel for ease of execution of duties.
  • Ensure that all documentation is tracked.
  • Create and maintain an appropriate filing and record management system.
  • Assist and relieve the receptionist with switchboard duties as and when required.
  • Ensures that documentation is recorded and filed appropriately.
  • Ensures that classified and confidential documents are kept safely.
  • Support the Unit with administrative tasks.
  • Edit all documents emanating Unit for grammatical correctness.
