People Coordinator

Own and support employee lifecycle operations across multiple global markets, combining people administration, payroll coordination, HR data, learning materials, AI and automation.

Cape Town | Hybrid | Monday–Friday, 40 hours per week, 09:00–17:00 UK time, 1-hour unpaid lunch break, core working hours 10:00–16:00 UK time | R20,000–R30,000 per month

THE ROLE: PEOPLE COORDINATOR

The People Coordinator will support the operational delivery of the employee experience, owning processes across the employee lifecycle from onboarding through to offboarding.

Working closely with the People Operations Director and wider People team, the role covers HRIS administration, global payroll inputs, contractor administration, hiring support, employee queries, learning and development materials, internal communications, people data and process improvement.

The role also has a strong focus on AI and automation, identifying practical ways to improve people workflows, alongside designing decks, guides and materials supporting learning, culture and company-wide initiatives.

KEY RESPONSIBILITIES

• Partner with the People Operations Director to design and continuously improve employee lifecycle processes.
• Support the development of frameworks and documentation used by the wider People team.
• Own onboarding and offboarding administration, ensuring a smooth and consistent experience for joiners and leavers.
• Act as the primary administrator for the HRIS and wider people technology stack.
• Maintain clean, accurate and audit-ready employee records across markets.
• Coordinate and initiate monthly payroll inputs across multiple markets.
• Liaise with Finance and local payroll providers and Employer of Record providers.
• Manage the cross-market HR data workflow for monthly payroll.
• Partner with Finance on payroll review and approval and coordinate with Global People Directors, local providers and EORs for final delivery.
• Own administration of the global contractor population from engagement through to offboarding.
• Support hiring logistics, including job postings, interview scheduling, candidate coordination and offer letters.
• Act as a trusted first point of contact for employee queries.
• Design engaging decks, training materials and visual resources supporting learning and development initiatives, culture moments and company-wide announcements.
• Build clear, well-structured documentation, process guides and handbooks that support engagement and adoption.
• Write internal communications that keep teams informed, aligned and engaged.
• Identify practical opportunities to apply AI and automation to people workflows.
• Build dashboards and present people data to surface clear, actionable insights for the wider business.
• Identify operational bottlenecks, investigate root causes and independently implement practical solutions.
• Build a strong working relationship with the People Operations Director and wider People team.
• Develop a thorough understanding of onboarding, offboarding, payroll and contractor management processes and identify improvements to accuracy and efficiency.
• Take ownership of people data accuracy within HiBob across all markets and surface insights back to the team.
• Establish a reliable process for global payroll initiation, working closely with Finance and EOR partners where relevant.
• Build visibility and rapport across the wider People function beyond the core People Operations remit.

ABOUT YOU

• 1–2 years of experience in People Operations, HR Administration or a People Coordinator role, ideally within a fast-paced, global business.
• Hands-on HRIS experience, with HiBob considered a strong plus.
• Comfortable using Excel or Google Sheets.
• Confident using tools such as Canva, Figma, PowerPoint or Google Slides to turn dense information into engaging, well-designed materials.
• Genuine curiosity about emerging AI tools, with concrete ideas for applying automation to HR workflows.
• Experience with Employer of Record providers is a strong advantage.
• Exceptional attention to detail.
• Confident and proactive communication skills.
• Able to take direction, collaborate cross-functionally and implement the right solution.
• Able to investigate complex situations, ask relevant questions and follow through to resolution.
• Able to independently identify and implement practical solutions to operational problems.
