SUMMARY:
Payroll Administrator

JOB DESCRIPTION:

This position reports to: Payroll Supervisor

Main Responsibilities

  • Ensure New Employee Starter packs as received from HR are completed correctly and that no documents are outstanding before capturing information on the payroll system.
  • Update Payroll System with New Employee information as received by HR and ensure that the employee’s package breakdown is captured correctly in the payroll system.
  • Ensure accurate processing of Bonus and Leave payments.
  • Submit correct documentation to Schemes (Medical Aid, Safrican, Sure Afrika,MIBFA, etc.) in respect of employees’ status (new engagements, terminations, changes in beneficiaries, etc.)
  • Upload monthly pension/provident fund contributions schedule to Mibfa.
  • Accurate capturing of all Wages Inputs on to payroll and T/A System, which includes annual leave, sick pay , family responsibility leave , etc
  • Scrutinise wage inputs to ensure correct documentation is received in terms of all leave applications, changes to rates of pay , etc .
  • Interpretation and application of Main Agreement.
  • Prepare banking paperwork and transfer wages net pays to the distribution bureau (FIHRST)
  • Administers all deductions accurately as received.
  • Deal with queries on all aspects of payroll and benefits.
  • Ensure all 3rd party payments are made before the due dates.
  • Provide advice to employees in respect of all benefits which includes Company Policies, etc
  • Ensure payslips are exported successfully to InfoSlips Platform at least 2 days before payday .
  • Schedule and release InfoSlips runs as and when necessary.
  • Assist employees with activating, registering InfoSlips account, emailing of PUK numbers and downloading InfoSlips App on their smartphones.
  • Ensure all new employees are loaded on the T/A System and all leavers are terminated.
  • All absences are accounted for against leave forms received versus clockings on the T/A System.
  • All no clocks are accounted for as per Audit Requirements.
  • Reports to meet deadlines (if applicable) and to conform to the requirements of managers, etc.
  • Ensure Payroll Department is fully equipped with all stationery requirements

Minimum Requirements

  • Matric, Payroll Administration Certificate advantageous 
  • Minimum of 2 to 3 years’ experience in processing Weekly Payrolls.
  • Experience with T/A Systems ( preferably Jarrison Time )
  • InfoSlips
  • Computer literate (Excel and Word)
  • Basic administrative skills
