Payroll Administrator

SUMMARY:
One of our clients, based in Boksburg is looking for a Payroll Administrator 

Responsible for accurate payroll processing, maintaining employee records, reconciling time and leave data, and ensuring compliance with labour legislation and internal policies. The role also includes employee support and payroll administration.

POSITION INFO:
QUALIFICATIONS AND EXPERIENCE:

• Matric
• Diploma or higher certificate in Payroll Administration
• Minimum of 3 years' experience in a payroll administrative or coordination role
• Excellent verbal and written communication skills in English
• Ability to confidentially handle sensitive employee data
• Strong organisational skills with the ability to manage multiple priorities effectively
• High attention to detail and accuracy in handling documents and records
• Collaborative team player with strong interpersonal skills
• Flexible and adaptable, with the ability to respond well to changing demands
• Basic financial understanding
• Proficient in Microsoft Office (Outlook, Word, Excel) and comfortable working with ERP systems
• PaySpace knowledge would be beneficial

• Payroll Processing & Administration
• Capture, verify, and process payroll data accurately and within required deadlines
• Maintain employee payroll records, including earnings, deductions, and changes
• Assist with monthly payroll runs and year-end processes as required
• Medical aid and provident fund administration

• Check and reconcile leave records against actual clocking data and attendance reports
• Investigate discrepancies between leave taken, clockings, and approved leave applications
• Liaise with relevant parties to resolve variances before payroll cutoff
• Ensure leave balances are accurately updated and maintained on the payroll system

• Ensure payroll processes comply with relevant labour legislation, BCEA requirements, and internal policies
• Support payroll audits by providing accurate records and reconciliations
• Identify and flag payroll risks, errors, or inconsistencies proactively

• Scan, file, and maintain all payroll-related documentation, including leave forms, clocking & attendance reports, disciplinary records, timesheets and payroll reports
• Ensure payroll records are stored securely, accurately, and in line with record-keeping requirements
• Maintain organised electronic filing systems for easy retrieval

• Respond to payroll-related queries from employees in a professional and timely manner
•  Provide payroll information and reports to authorised parties when required
