POSITION INFO:
The post-holder works closely with the financial planners and administrators of the company to ensure a vibrant, well-run and effectively managed service provider and support to the clients of the company and its staff towards achieving the vision of being CARING, CREATIVE, ACCURATE AND QUALIFIED

QUALIFICATIONS & KNOWLEDGE

  • A Bachelor of Commerce / Bachelor of Law
  • Advanced Certificate in Financial Planning
  • Post Graduate Diploma in Financial Planning (or studying towards)
  • Professional Competency Examination (PCE)
  • Class of business training
  • Product specific training
  • Regulatory Examinations (RE5)
  • Advanced MS Word and Excel skills
  • Knowledge of MS Outlook / Teams / Internet
  • Experience in using financial planning modelling software like Xplan, Xtools, Integrated Wealth Planner, Asset Map etc
  • Fluent in English and Afrikaans – spoken language, written language, and spelling
  • Proper understanding of services rendered to clients

  • Investments (local and offshore)

CRITICAL PERFORMANCE AREAS
Reporting to the Head of Financial Planning, COO - Operations and CEO – Human Energy
Risk Management / Compliance:
In all duties and tasks delegated, comply with all job-related requirements and standards of the:

  • Other relevant legislation & regulation
  • Accurate effective record keeping
  • Accurate professional client communication
Client Relationship Management
  • Time management – paraplanner tasks and deadlines for client-financial planner meetings
  • Gathering relevant client information for initial planning meetings (new clients)
  • Gathering relevant client information for annual review meetings (existing clients),
  • Recording client data in an orderly manner
  • Liaising with financial planners and administration assistants, suppliers’ client services as and when needed
  • Strong ability to work within a team
Operations
  • Preparing for upcoming Client - Financial planner meetings
  • Uploading and updating client gathered data using financial planning systems / software like Xplan, Astute, Xplan Advice Tools, Financial Planner Asset Mapping Software, Integrated Wealth Planning Software
  • Handling client queries / requests / quotations. (long term insurance) whilst involving planner when advice and / or intermediary service is required
Key accountabilities
  • Completion of tasks and work requests as per FSP policies, procedures, workflow
  • Assisting with co-ordination, prioritisation, and monitoring of paraplanning work requests as required
  • Accompanying financial planners to initial and review client meetings as and when required
  • Reviewing work of less experienced paraplanners as and when required
  • Coaching and mentoring less experienced paraplanning team members as and when required
  • Assisting with induction of new paraplanning team members if required
  • Assisting in the development and review of paraplanning policies and procedures
  • Participation and completion of assigned projects
  • Ongoing maintenance and development of professional knowledge to satisfy at a minimum, current industry, FSP and legislative requirements
  • Assisting in the collation and production of management reports as and when required
Challenges / problem solving
  • Meeting service standards for completing projects
  • Ability to prioritise work requests while meeting deadlines and maintaining relationship
  • Identifying outstanding information required for accurate completion of work requests and collecting this information from the parties concerned
  • Identifying risks involved in the client’s portfolio and discuss with the planner concerned (Examples: Drawdown rate of retirement funds too high, Inadequate buy and sell arrangement for business shareholders, No liquidity in deceased estate)
  • Assisting in improving, developing and delivering services offered
Record keeping, preparing, populating the following for planners may include:
  • Meeting records
  • Service level agreement
  • FAIS disclosure
  • Risk profiling tools
  • Client consent
  • Needs analysis questionnaire
  • Assets & liabilities
  • Portfolio summary and update
  • Budget
  • Calculation: planning and deceased estate, tax, cash flow, more
  • Advice agreements
  • Populating templates
