Packaging Co-Ordinator

POSITION INFO:

Minimum Requirements

• Grade 12 / Matric
• Relevant qualification in Administration, Logistics, Supply Chain, or Packaging Management will be advantageous
• Minimum 2–3 years’ experience in packaging, stock control, or administrative coordination
• Computer literacy (MS Excel, Outlook, stock management systems)
• Strong numerical and reconciliation skills
• Good communication and organizational abilities
• Ability to work under pressure during peak seasonal operations

Key Responsibilities

1. Packaging Department Operations

• Manage the daily activities of the Packaging Department during the blueberry season.
• Coordinate and supervise daily packaging administration and operational requirements.
• Conduct and lead daily staff meetings to ensure effective communication and workflow management.
• Monitor packaging material availability to support uninterrupted production operations.
• Follow up on supplier orders and delivery schedules to ensure timely receipt of stock.

2. Administration Management

2.1 Invoicing & Financial Administration

• Manage all packaging-related invoicing processes.
• Create and process Purchase Orders (POs).
• Process Goods Received Vouchers (GRVs) accurately and timeously.
• Maintain and update Little Schedule documentation.
• Reconcile supplier invoices, stock records, and account statements.
• Ensure all administrative records are accurate and up to date.
• Assist with monthly reporting and documentation control.

2.2 Order & Supplier Coordination

• Prepare monthly packaging material order placements.
• Liaise with suppliers regarding deliveries, shortages, and pricing updates.
• Ensure updated pricing is captured and communicated accordingly.
• Monitor redundant or obsolete stock items and report accordingly.

3. Packaging Stock Management

3.1 Stock Control & Reporting

• Coordinate daily and weekly stock counts.
• Prepare stock reports detailing:
• Purchases
• Stock usage
• Waste
• Stock value on hand
• Investigate stock variances and implement corrective actions where required.
• Ensure proper stock reconciliation between physical stock and system records.

3.2 Stock Transfers

• Coordinate stock transfers to WC DC.
• Ensure all transfer documentation is completed accurately and submitted on time.

• Accuracy of stock reconciliations and reporting
• Timely processing of invoices, GRVs, and purchase orders
• Effective stock management and waste control
• Supplier coordination and delivery follow-up
• Maintenance of accurate administrative records
