PA (to 2 Directors), Gqeberha

SUMMARY:

Our client has a vacancy for a PA to 2 Directors for a permanent role, based in Gqeberha, Eastern Cape.

POSITION INFO:

Applicants are required to strictly meet the following criteria:

• Grade 12 with Secretarial diploma or 5 years secretarial experience
• MS Office (advanced level) with GreatSoft (advantageous)
• Skills required : communication, interpersonal, typing, client service and organizational
• Basic accounting knowledge
• Able to prioritise and manage workload

• Management of incoming and outgoing mail & email
• Electronic diary management
• Typing of client correspondence, invoices and credit notes
• Sending statements and doing debtor’s recons
• Keeping debtor's age analysis up to date with payments and following up with clients
• Filing of documents on CDM
• Dealing with clients' telephonic and personal queries
• Maintaining client database and EME certificates
• Financial Statements - printing statements, sending to clients and preparing minutes/resolutions
• Following up on outstanding signed documentation
• Updating directors locking lists
• Maintaining the director's timesheets
• Trust Work
• Preparation of various documents for new clients
• Assist the directors with valuations when necessary
• Preparation of quotes
• Compliance with the firm’s System of Quality Management (SOQM), policies and procedures
• Compliance with the firm’s Employee Code of Conduct
• Typing of financials when needed
• Maintaining the “financials tracker/income tax return” spreadsheet
• Update PA register for all incoming signed financials
• Update AUP (agreed upon procedures) locking register
