POSITION INFO:
The Outbound Supervisor will be responsible to Drive, Manage, Deliver and plan all specifically assigned admin-related tasks of the business within the Outbound/Logistics Department of the JUMBO Warehouse. To ensure the efficient and effective functionality within the department and to be a support to the Head Of Department. To ensure efficient processing and record-keeping for the purpose of producing accurate daily reports. The Outbound Supervisor will be responsible for assisting the Head of Department to make sound business choices within their specific department / role.
KEY RESPONSIBILITIES:
DAILY / MONTHLY TASKS
• Creating purchase orders (WORKFLOW)
• HRPM (Time and Attendance system) – scheduling
• Data Capturing
• Daily Reporting
• HRPM – attach authorized leave forms
• Order Processing, Despatching and Record-keeping of Staff Uniforms
• Procurement, Despatching and Record-keeping of Chemicals (store level)
• Procurement, Despatching and Record-keeping of Stationery (store & head office)
• Allocation of pool vehicles to employees
• Allocation of trucks to drivers
• Ensuring vehicle inspection sheets are completed for all vehicle allocations
• Management of manifests and waybills for trucks for all store deliveries
• Processing and authorisation of truck drivers travel claims and box incentives
• Reconciliation of JUMBO fleet monthly fuel transactions
• Responsible for record-keeping and booking of services and repairs for JUMBO fleet
• Facilitation and booking of all services and repairs for JUMBO fleet
• Fuel Usage tracker for JUMBO fleet
• Procurement and Despatching of equipment and appliances for new store openings
• Procurement and Despatching of store fittings and fixtures
• Ticket Tracking and Resolution on Spiceworks (WHS Boxes system)
• Netstar reporting and monitoring (vehicle tracking JUMBO fleet)
• Administration and payment of traffic fines for JUMBO fleet
• Negotiation / Liasing with 3rd party suppliers – RTT Couriers
• RTT Courier system navigation
• Warehouse stock management systems and reporting – Dolfin and Neptune
• Physical Stock Management process
• RF Scanning process – bulk pick plastics for stores
• Capturing IBTs (Inter Branch Transfers / Stock Movement) between / from stores
• Monitoring of CCTV cameras (within warehouse)
• Work closely with all other departments to provide best service to them.
Housekeeping
• Maintain cleanliness within the department / workspace.
General
• Adhoc tasks allocated by the Outbound Manager / Warehouse Manager.
• Staff management (within department)
• Department Management in absence of HOD
• Ensure filing and archiving is up-to-date
Minimum Requirements:
• Minimum of 2 years’ experience in a Similar role
• Code 08- unendorsed driver’s license (+own transport)
• Advanced Excel
