SUMMARY:

My client in the academic industry is looking for a self-motivated Operations Assistant to join their office in the Northern Suburbs. The Operations Assistant handles written texts (incl. tables and figures) through the production process from acceptance (post-review) until online publication. The role is responsible for assessing the quality of work delivered by copy editors, layout editors, proof-readers, and authors to ensure the Publisher's House Style (incl. other styles) are adhered to in all work.

POSITION INFO:

Responsibilities:
The Operations Assistant coordinates the production schedule of a manuscript from acceptance to online deliveries with the support of the Production Specialist. Tasks can include checking manuscripts, sending out vendor requests, responding to authors, and working with colleagues and editors (both in Africa and overseas) to ensure everything runs smoothly, organise files, and support the office''s day-to-day running by answering calls and emails.
 

  • Conduct initial manuscript permission and ethical checks.
  • Develop language style sheets and create presentation guides for book projects. 
  • Inspect and review vendors work for quality, correctness, consistency, accuracy, and readability – proceed to collate constructive feedback to improve vendor output and discuss with the Production Specialist.
  • Track and troubleshoot production schedules and secure adherence to the schedule by editors, authors, and vendors.
  • Monitor timeliness of work/task against average desired timelines and take corrective action to resolve delays.
  • Examine, organise, and record all corrections and/or change requests (incl. linguistic or graphic change) received from authors and/or editors on a single correction file.

 
Skills and requirements:
·         A relevant undergraduate degree, in Publishing, Linguistics or Journalism, or in a subject that is related to any of the content areas regularly encountered in educational publishing projects (an Honours degree in Publishing will be an advantage)
·         Relevant experience in a similar position (will be an advantage)
·         Proven experience in project management.
·         A working knowledge of the scholarly production process.
·         Strong communication skills - both written and verbal.
·         Excellent English language skills (Editorial skills)
·         Strong language and editorial skills in any of the following official South African languages would be advantageous: Afrikaans, isiZulu, isiXhosa, Sesotho, Sepedi, Setswana.
·         Advanced computer skills (especially in MS Word, Excel, and Outlook)
·         Highly organized and self-motivated, with strong time-management skills.
·         Able to work well under pressure in an open plan environment.
·         Able to self-manage in a work-from-home environment.
·         Able to work independently and as part of a team.
·         Altruistic: A caring drive to benefit and support others. To tend to the altruistic drive, let them help others for a cause. Making sure everyone is well taken care of and supported.
·         Regulatory: A drive to maintain order and the status quo. To tend to the regulatory drive, let them keep consistent systems and enforce those systems. Enjoy working inside the lines where there are lots of regulations, policies, rules, and structure.
·         Theoretical: A drive to learn and gain new knowledge. To tend to the theoretical drive, allow them to learn new processes constantly. Hungry for new knowledge or new ways of delivering even more efficient results.
