About the role
The Operations Administrator is responsible for coordinating appointments, managing medico-legal documentation,
supporting clients, attorneys and medical experts, and ensuring the smooth day-to-day operation of Horizon Medical
Experts.

Responsibilities: 

Appointment Coordination

• Schedule and confirm claimant and expert appointments.
• Send appointment confirmations and reminders.
• Update the booking calendar and maintain accurate schedules.
• Reschedule appointments when required.

• Respond to calls, emails and enquiries professionally.
• Communicate with attorneys regarding bookings, reports and outstanding documents.
• Conduct client confirmation calls before appointments.
• Escalate unresolved matters to management.

• Follow up on outstanding medico-legal reports.
• Review reports for completeness before submission.
• Upload reports and supporting documents to SharePoint.
• Maintain accurate electronic and physical filing systems.

• Arrange MRI, X-rays and other investigations when required.
• Send referral letters and quotations to attorneys.
• Confirm attendance and upload investigation results.

• Welcome claimants and experts professionally.
• Register claimants and issue assessment documents.
• Prepare consulting rooms before assessments.
• Maintain a clean and professional reception area.

• Capture claimant, attorney and expert information accurately.
• Scan, upload and file all documentation.
• Maintain confidentiality of all records.
• Perform regular quality checks on files.

• Monitor office equipment and report faults.
• Ensure stationery and office supplies are available.
• Assist with daily operational requirements.
• Keep consulting rooms ready for assessments.

• Update daily operational records and attendance registers.
• Upload all assessment documents before close of business.
• Prepare weekly and monthly operational reports.
• Report workflow issues to management.

• South African Unemployed youth between the ages of 18 and 34.
• Must not have participated on the YES programme before.
• Matric.

• The Operations Administrator is expected to work efficiently, maintain accuracy, communicate professionally, meet deadlines, and protect the confidentiality of all claimant and company information.
