SUMMARY:
Our client is looking for an Office Administrator to provide personal and administrative support to the Branch Manager and Sales Team through conducting and organizing administrative duties and activities including receiving and handling confidential information

POSITION INFO:

Job Specifications

Perform a range of general clerical, including SAP admin and bookkeeping support functions 

Document Preparation:

Typing and designing reports for meetings

Typing of agendas for meetings, including Management Meetings, Employment Equity, Skills Development, Production

Minute taking of meetings and typing of minutes

Coordinating and setting up of all meetings

Proofreads assignments for accuracy and completeness

Preparing Presentations

DAS Marketing Design and Coordination

Office Support

Monitor and maintain office supplies

General telephonic answering, handling of queries, and message distribution

HR Support to HR Manager at Head Office (ie) leave recording

Maintain databases, records, confidential files, and other related information for department needs

Finance / Sales:

Generate Sales Quotations on SAP Business One

Follow up on quotations

Capture Sales Orders generate Picking Slips and Process invoices on SAP Business One

Liaising and supporting Sales representatives regarding customers and orders
Walk-in Clients reception, order processing, and card payments

Liaise with management on customers special discounts and customer trading terms

 

Minimum Requirements

Matric

Business college training an advantage

Previous office experience 2-5 years

Competent computer skills including MS Office or equivalent

Internet skills, including use of e-mails, group messaging, and data collection

Numeracy and literacy skills

Relevant training or qualification

Knowledge and experience of relevant software applications - spreadsheets, word processing, and database management

Knowledge of administrative and clerical procedures

Knowledge of business principles

Proficient in spelling, punctuation, grammar, and other language skills

Proven experience in producing correspondence and documents

Proven experience in information and communication management

Required typing speed

Knowledge of Accounting Principles

Knowledge of SAP 

Verbal and written communication skills
