OFFICE MANAGER – BRANCH OPERATIONS

SUMMARY:
A leading paper merchant based in Elsies River Industrial, Cape Town is currently seeking an Office Manager for branch operations.
The Office Manager is responsible for the effective management of internal sales operations, office administration, and office-based staff at the Cape Town branch. This role works closely with the distribution and warehousing teams to ensure seamless order processing, customer service excellence, accurate documentation, and operational efficiency within a paper and chemical sales environment.
The successful candidate will be highly disciplined, self-motivated, and detail-oriented, with strong leadership capability and the ability to manage people, processes, and performance.

POSITION INFO:
Key Responsibilities
Internal Sales & Customer Care Management
Manage and oversee the internal sales and customer service team

• Ensure accurate and timely processing of sales orders, quotations, and customer queries
• Monitor internal sales performance, service levels, and response times
• Maintain high standards of customer care and professional communication
• Support sales targets through efficient internal sales processes
• Resolve escalated customer issues and complaints
• Office & Administrative Management

• Overall responsibility for office administration and day-to-day office operations
• Manage office-based staff, including attendance, performance, and discipline
• Ensure effective workflow, task prioritisation, and accountability within the office
• Maintain accurate documentation, filing systems, and compliance records
• Liaise with service providers and suppliers related to office operations
• Coordination with Distribution & Warehousing
• Work closely with distribution and warehouse teams to ensure smooth order fulfilment
• Coordinate delivery schedules, documentation, and customer communication
• Assist with resolving stock availability, delivery delays, or order discrepancies
• Ensure internal sales and logistics teams are aligned and informed

• Health, Safety & Compliance (Office)

• Manage health and safety compliance for the office environment
• Ensure adherence to company policies and Occupational Health & Safety requirements
• Maintain safety documentation and incident reporting where applicable
• Promote a safe, compliant, and professional working environment
• People Management & Discipline

• Full responsibility for people management within the office and internal sales team
• Conduct performance reviews and ongoing coaching
• Manage disciplinary processes in line with labour legislation and company policy
• Assist with recruitment, onboarding, and training of office and internal sales staff
• Foster a culture of accountability, teamwork, and professionalism

• Support basic accounting functions, including:
• Sales administration
• Invoicing checks and documentation
• Cost awareness and expense control
• Assist with stock control processes, including order checks and stock queries
• Monitor internal sales figures and sales-related financial reporting
• Ensure accurate record-keeping related to sales, stock, and customer accounts

• Reporting & Communication

• Provide regular operational updates to the Branch Manager
• Prepare basic reports on internal sales performance, customer service, and office operations
• Highlight risks, issues, and improvement opportunities proactively

• Minimum 5+ years’ experience in customer care, internal sales, or office management
• Proven experience managing internal sales teams and office staff
• Experience within paper, chemical, or distribution environments will be advantageous
• Demonstrated experience with people management and disciplinary action
• Sound understanding of basic accounting, stock control, and sales finances

• Strong leadership and organisational skills

• Excellent communication and interpersonal skills
• Strong problem-solving ability
• Ability to work cross-functionally with sales, warehouse, and distribution teams
