Duties & Responsibilities

Key Responsibilities

• Coordinate the full student application and intake process from initial enquiry through to placement.

• Manage and respond to new student enquiries in a professional and efficient manner.

• Coordinate assessment protocols and ensure assessments are completed according to established procedures.

• Ensure all required intake documentation is received, accurately completed and properly maintained.

• Capture and maintain student information and data accurately.

• Conduct quality checks on captured information and supporting documentation.

• Ensure documents, including identification documents, are scanned clearly, are legible and meet required quality standards.

• Work consistently according to established SOPs, processes and protocols.

• Liaise with the Academic Department regarding student placement.

• Ensure placement instructions are implemented accurately.

• Coordinate and oversee the work of four employees across the two campuses.

• Provide clear, practical and easy-to-understand instructions to team members.

• Monitor the quality and accuracy of work completed by the team.

• Identify and correct administrative, documentation and data-capturing errors.

• Maintain accurate and up-to-date records.

• Communicate professionally with students, parents/guardians, schools and internal stakeholders.

• Ensure confidentiality when dealing with student and personal information.

• Travel to the Potchefstroom campus on a monthly basis.

Desired Experience & Qualification

Minimum Requirements
Experience

• Previous hands-on data capturing experience is essential. This must include personally performing data capturing and not only supervising data-capturing activities.

• Experience in quality assurance, quality control or highly detailoriented administration.

• Experience in financial administration, compliance, auditing or a similar structured administrative environment would be advantageous.

• Previous management or supervisory experience, particularly managing junior or lower-level employees.

• Experience working within clearly defined SOPs, processes and protocols.

• A strong quality-control mindset and a natural drive for high standards.

• Highly organised and structured approach to work.

• Excellent administrative and record-keeping abilities.

• Excellent verbal and written English communication skills.

Advantageous Experience
The following would be advantageous but are not essential requirements:

• Previous experience with skills administration, including SETA systems.

• Experience within the education, training or skills development sector.

• Multilingual abilities, particularly Afrikaans, isiZulu or Setswana.

Reporting Structure

• The successful candidate will coordinate a team of four employees, with employees situated across the Pretoria and Potchefstroom campuses.

• The role will primarily be based in Pretoria, with monthly travel to Potchefstroom required.
