MARKETING AND OFFICE COORDINATOR

SUMMARY:
Our Client in the Industrial manufacturing industry is looking for a highly organised, proactive Marketing & Office Coordinator who makes things happen. This is a varied role combing marketing coordination, office administration, event organisation (internal and external) and sales support

POSITION INFO:
REQUIREMENTS
Education:

• Grade 12 or higher qualification required

• Excellent written and spoken English
• Additional South African languages are considered an asset

• 2–5 years' experience in marketing, administration, project coordination or office management
• Experience coordinating events or trade shows would be advantageous
• Experience supporting a sales team and relationship management would be beneficial
• Experience managing multiple projects simultaneously
• Production management: managing suppliers to produce collateral
• Photography skills are advantageous (no formal training or experience required)

• Microsoft Office (Word, Excel, Outlook and PowerPoint)
• Canva or similar design software (advantageous)
• Social media platforms (advantageous)
• CRM systems (advantageous)
• Mailchimp and Survey Monkey (advantageous)
• Monday.com (advantageous)
• Comfortable learning new software systems

• Assist with social media content creation and email marketing campaigns
• Manage third party suppliers in the production of marketing collateral, brochures, promotional items and branded merchandise, including gifting
• Take photos of new products for the website and social media
• Monitor stock levels of marketing material and promotional products
• Database management

• Provide day-to-day marketing support to the sales team including for when a new retailer comes on board
• Assist with retail merchandising initiatives and customer open days
• Support CRM administration and lead generation activities
• Assist with customer surveys and other sales support projects

• Oversee the design and production of product labels and packaging

• Coordinate company participation in trade
• shows, exhibitions, supplier events and customer functions
• Organise travel, accommodation and itineraries for management and sales representatives
• Coordinate event logistics including venues, catering, branding and promotional material

• Organise the annual NSS end of year function and other staff events such as retirement parties and awards ceremonies
• Assist with internal communications and employee engagement initiatives
• Maintain office marketing assets, and branded materials including staff uniforms
• Support ad hoc administration and project coordination across departments
• Assist leadership with project planning, scheduling and new ideas

• Liaise with printers, photographers, promotional suppliers, venues and other service providers
• Obtain quotations, coordinate orders and monitor delivery timelines
• Ensure marketing projects are completed on time and within budget

• Maintain accurate marketing records, and documentation
• Track results and ROI on all initiatives
• Assist with budget tracking and purchase requisitions.
• Prepare reports, presentations and meeting material where required
• Support continuous improvement of marketing and office processes.
