POSITION INFO:

An exciting position for a Logistics Administrator exists with our client in the Kloof area.

Stock Room

Maintaining stock room, keeping it clean & tidy

Keeping an updated stock record at all times, including brochures

Keeping an updated stock record for stock held at factory at all times

Ensuring there is enough bubble wrap, craft board and packing tape. When stock is low, advise the accounts department to order more

Ensuring samples are in the board room

Tracking of samples at all times

Samples to be signed in and signed out at all times

Follow up on dispatch dates, once the orders have been placed in the system and received from our operations department, includes sample orders

Update order board with dispatch dates

Contact the client if we can''t meet their dispatch date

State of play to be sent to customer on a weekly basis, change or no change

Liaise with suppliers that orders are ready to be dispatched

Ensure the different order components are dispatched in time to complete the order.

Ensure that there are no damages to any components when they reach the factory, if there are, making sure replacements are ordered

Prepare box labels and email to suppliers

Prepare collection advices and emailing the courier guy and supplier and delivery notes.

Tracking that show samples arrive and get collected on time

Creating a loading or packing layout for a pallet or container and emailing the supplier

POD''s or collection advices

Email POD''s and collection advices to sales department

Attach the POD & collection advise to the orders

Local transport quotes

Local & throughout South Africa quotes and consolidation quotes done online - Courier guy

Adding a mark-up to the quote to charge customers

Either emailing quotes the consolidation cost table to add to the quote, or I add it to the completed quote and advise the quotes department it has been done

Doing a separate quote for transport and emailing the client directly

International transport quotes

Requesting Air freight quotes from freight company

Sea freight and Road freight costs done on a template

Adding a mark-up to the quote to charge customers

Either emailing quotes the consolidation cost table to add to the quote, or I add it to the completed quote and advise the quotes department it has been done

Doing a separate quote for transport and emailing the client directly

Work out various units being packed into a container

Liaising with the freight companies and booking containers

Inspections - Arranging inspections to be done for international customers

Wrapping samples for Trade Shows and sales reps travels

Putting samples together for Trade shows as instructed. Quotes may be asked to order new samples for the trade shows

Arranging for a crate/s to be built for the samples going overseas

Arranging for the freight company to collect the crate/s

Unpacking of the crate and samples put back in the stock room

Carnet - arranging and completing the carnet application for trade show samples

Export Docs

Ensure that all export documents, SAD500, Customs release, Cargo dues, Air Waybill, Bill of lading and POD are received and emailed to accounts

Arranging a EUR1, SADC, commercial invoice & packing list for customers

Commercial invoice and packing list to be prepared for all international orders and trade shows

Using the photos for our clients and updating our brochure for clients and trade shows

Reconciliation of courier account

Dealing with courier queries

Keep an updated HS Code list ,

Keep an updated product dimensions list and number of units that fit in a 20ft & 40ft container

Keep an updated file of quotes and export documents needed per country

Knowing which product is which and various components to finalise the product

Get photo of all completed orders and save them to the server

MATRIC WITH MATHEMATICS

2 years’ experience dealing with couriers, international courier experience will be an added advantage. Training will be provided.

Must have own vehicle
