Job Title: Junior Tender Coordinator

Location: Rosenpark, Bellville

Purpose of the Role:

The Junior Tender Coordinator will provide support with the preparation and submission of tenders. The role will involve assisting with gathering information and documents, preparing tender submissions, keeping track of deadlines and ensuring that submissions are completed accurately and on time.

This is a great opportunity for someone who is organised, detail-oriented and interested in developing their experience in tender administration within a recruitment agency environment.

Key Responsibilities:

• Assist with finding relevant recruitment and staffing tender opportunities.
• Assist with reviewing tender documents and understanding what information is required.
• Help prepare and keep track of tender submission checklists and deadlines.
• Gather required company information, certificates, documents and supporting information.
• Follow up with internal teams and management for information or documents needed for submissions.
• Assist with preparing and formatting tender documents according to client requirements.
• Help ensure that all required information and documents are included in submissions.
• Assist with pricing schedules and obtain the required internal approvals.
• Check tender documents for missing information, signatures or supporting documents.
• Assist with submitting tenders before the required deadline.
• Assist with submissions through client-designated tender or recruitment platforms.
• Keep tender documents and information organised and up to date.
• Maintain records of tenders submitted and their outcomes.
• Assist with any additional information or clarification requests from clients.
• Communicate with internal teams regarding information and documents required for tenders.
• Keep standard company information and tender documents up to date.
• Provide regular updates to management and internal teams on upcoming tenders, deadlines and submission progress.

Requirements:

• Previous administration experience is required.
• Previous exposure to tenders, bids, proposals or procurement would be advantageous.
• Previous experience within a recruitment agency or staffing environment would be advantageous.
• Good organisational and administrative skills.
• Good attention to detail.
• Ability to work accurately and meet deadlines.
• Good written and verbal communication skills.
• Comfortable working with documents and following instructions.
• Good working knowledge of Microsoft Office, particularly Word and Excel.
• Ability to communicate and follow up with different teams when information is required.
• Willingness to learn and develop knowledge of the tender process.
