Junior Administrator / Receptionist

SUMMARY:

POSITION INFO:
Minimum Skills and Requirements: 

• Completed Matric Certificate
• Previous reception/ administrative experience would be highly advantageous
• A valid drivers' license
• Applicants must be fluent in English and isiXhosa
• Working knowledge of Microsoft Office; Word, Excel and Outlook
• Strong interpersonal skills and ability to communicate with people at all levels 
• A proactive approach to tasks, with high level attention to detail
• Ability to work well within a team, as well as independently
• Strong organisational and time-management skills 
• Professional, reliable, and service-orientated attitude 

• Professionally answering, managing, and directing incoming calls
• Taking and relaying messages accurately and timeously 
• Filing and maintaining staff files, ensuring documentation is up to date for payroll 
• Scanning, saving and managing timesheets on the internal drive
• Preparing and maintaining staff leave schedules and submitting information to the relevant department
• Maintaining the AOD (Authorisation of Disbursement) register and monitoring collection progress
• Preparing termination schedules
• Assisting with telephonic payroll and pay-related enquiries
• Providing payroll support, including scanning and related administrative tasks
• General administrative support, including:
  • Arranging written driver’s tests
  • Registering workers to manage overflow
  • Assisting with UI19s
  • Supporting onboarding of new workers from the in-house waiting area
• Carrying out ad hoc administrative tasks as required
