Investment Administrator

SUMMARY:
Our client is looking for a Fund Administrator to own the operational backbone of their capital raise and work directly alongside the CFO on its execution.

The Fund Administrator will be the central coordination point for the raise - the person who keeps investors, distributors, and compliance workflows moving in sync. The role combines precise back office processing with confident, client-facing coordination, and offers significant scope to grow with the raise and the CFO’s mandate.

POSITION INFO:
Minimum Requirements:

• 4+ years of back office, fund administration, or investor operations experience in financial services.
• Working knowledge of AML/KYC onboarding.
• Excellent telephone manner and client-facing confidence, including with high-net-worth investors and intermediaries.
• Strong organisational and coordination skills; able to hold many threads at once without dropping detail.
• Proficiency in Excel.
• Comfortable with CRM and document management systems.
• Clear, professional written communication.
• Familiarity with distributor and IFA channel operations (advantageous).
• Experience supporting a senior executive (advantageous).

• Raise execution and coordination
  • Work closely with the CFO and Business Development Team on day-to-day execution of the raise; keep all moving parts synchronised and surface what needs attention before it becomes urgent.
  • Track workflow across investors, distributors, and advisors; hold the master view of status and next actions.
  • Coordinate diaries and deadlines across the CFO, distribution partners, and counterparties.
• Investor onboarding and administration
  • Process subscriptions and onboarding documentation from receipt to execution.
  • Run AML/KYC verification on every investor and connected party; escalate exceptions.
  • Maintain complete, audit-ready investor files and an accurate investor register.
• Client and distributor liaison
  • Act as first point of contact for investor and distributor queries — confident and professional on the phone and in writing.
  • Set up and coordinate meetings between distributors and IFAs; manage invitations, scheduling, and follow-up so distributors can attend prepared.
  • Chase incomplete applications through to close-out.
• Client support
  • Support clients in assembling and preparing their tax documentation (administrative support only; substantive queries escalated per protocol).
  • Support the distribution of statements, confirmations, and tax certificates.
• Records and controls
  • Apply the onboarding checklist and control framework on every file.
  • Maintain records to regulatory standards and support audit requests.
  • Keep document version control across the subscription pack and templates.
