IP Prosecution Administrator

SUMMARY:
Our legal client based in Johannesburg North is seeking an experienced Intellectual Property Prosecution Administrator to join their Prosecution Department on a temporary basis - Immediate start - End of February 2027.
This is an excellent opportunity for a candidate with previous IP prosecution and trade mark experience to join a professional legal environment and gain further exposure within a busy department
Salary: R15 000 CTC per month

POSITION INFO:

Minimum Requirements

• Matric 
• Relevant legal secretarial, paralegal or administrative qualification will be advantageous
• 2–3 years' relevant experience within an Intellectual Property firm, specifically in a prosecution environment
• Previous trade mark administration/prosecution experience is essential
• Experience working with IP management software
• Experience with Sage and MS Office
• Strong administrative and organisational skills
• Excellent attention to detail and ability to manage deadlines
• Professional communication skills and a strong client-service approach
• Ability to work accurately and efficiently in a high-volume environment

Key Responsibilities

• Open and maintain electronic and physical client and IP files
• Capture new instructions and update matters on the firm's IP management system
• Monitor statutory deadlines, diaries and reminders, ensuring deadlines are met
• Process correspondence received from IP offices and prepare routine client correspondenc.
• Prepare filing documentation, filing packs and supporting documents from client instructions
• Monitor trade mark applications and maintain accurate prosecution records
• Process trade mark renewals and recordals where required
• Liaise with clients, foreign associates, agents and official registries
• Prepare billing requests and capture disbursements and official fees
• Draft and format standard legal and administrative documentation
• Assist with file closures, archiving, reporting and quality control
• Provide general administrative support to attorneys and paralegals
