Host Coordinator Relationships

SUMMARY:
Host Coordinator Relationships (H-CR) is responsible in identifying companies that can assist in placing YES candidates to acquire quality workplace experience over 12 months, at host companies or other entities. The Host Coordinator Relationships will be responsible for nurturing, building and maintaining relationships with respective host companies and/or entities. In addition, the Host Coordinator will champion host company or workplace identification, vetting and contracting thereof for YES candidates to enable Signa Opportunity to reach its business objectives and contribute towards Signa’s mission of creating sustainable jobs.

POSITION INFO:
DUTIES & RESPONSIBILITIES

Host Company & Entity Relationship Management

• Identify, vet, and establish partnerships with host companies or entities to ensure quality workplace experience opportunities for candidates within industry, commerce, NGOs, and SMMEs.
• Foster sound partnerships that result in sustainable employment opportunities and drive economic pathways for youth.
• Schedule and conduct host identification meetings with all relevant team members to ensure alignment and readiness.
• Conduct pre-hosting site visits to assess suitability and compliance with workplace experience requirements.
• Establish formal partnerships with incubation hubs to expand host opportunities and enhance program reach.
• Grow the reach of host partners by 70% across all 9 provinces to maximize placement opportunities.
• Ensure YES candidates are placed in reputable workplace environments that align with the rollout plan.
• Liaise between host companies or entities and cross-functional internal teams to ensure the timely and successful delivery of matched-placement solutions.

 
2. Operational Service Delivery

• Understand Signa Opportunity’s services, products, and SLA requirements as per client proposals and align delivery accordingly.
• Track contract duration and assist in the timely renewal of existing SLAs with host companies or entities.
• Proactively scout, rate, and qualify potential hosts according to sector, business type, and nature of work.
• Troubleshoot and resolve host issues and complaints to improve the effectiveness of workplace experiences.
• Manage candidate allocation, including setting up, attending, and presenting at meetings with current and potential hosts.
• Ensure hosts have full knowledge and access to relevant resources and provide induction on workplace experience requirements.
• Assist in scoping roles and guiding host companies in identifying relevant roles for YES candidates.
• Support recruitment, selection, and candidate profiling to ensure an effective matched placement process.
• Provide guidance to the Recruitment Officer for effective matching candidates to host requirements.
• Liaise with host companies to ensure candidates have all necessary resources before the start date.
• Collaborate with the Workplace Coordinator Candidate and Account Manager to develop contract terms for candidate absorption and transfers.
• Develop the best practices for managing host-candidate relationships and improving engagement.
• Conduct host satisfaction surveys and provide insights to the Account Manager.
• Follow up on tasks and meet deadlines to achieve maximum results.

3. Risk Management

• Advise the Account Manager on host company changes that may impact candidate attendance, tracking, and safety.
• Assess workplace safety by conducting pre-hosting site visits and ensure compliance with all relevant labor laws (EEA, BCEA, LRA, etc.).
• Manage the SLA contracting process with host companies and ensure compliance with the Protection of Personal Information Act (POPIA).
• Maintain up-to-date host files and documentation, ensuring compliance with internal and external requirements.
• Update host information on the Host Database.
• Evaluate and mitigate risks in line with Signa Opportunity’s objectives and client HR policies.
• Ensure host employers and candidates’ obligations align with client and YES requirements.

4. Reporting

• Prepare weekly and monthly reports on host acquisition, contracting, placement, training, and support activities.
• Identify additional reporting areas to improve host experience and program effectiveness.
• Provide host companies with updates on YES program developments.
• Report to the Senior YES Account Manager and maintain a formal record of business obligations.

5. Leadership and Collaboration

• Foster a productive and supportive work environment that promotes employee well-being and retention.
• Collaborate with Recruitment and the Key Accounts Managers on all external placements.
• Promote teamwork, accountability, and adherence to company values and culture.

QUALIFICATIONS & EXPERIENCE

●       Diploma/Degree in Human Resources Management.
●       Extensive knowledge on the YES initiative, SETA’s/training legislation.
●       Project Management Certificate will be advantageous.
●       Advance knowledge MS Office.
●       Drivers License with own / reliable transport .
●       Minimum of 4-years recruiting experience.
●       Minimum of 1-2 years’ experience in a leadership and supervisory role
●       Proven recruitment record with the ability to meet tight deadlines.
●       Supervisory experience will be advantageous.

●       Sound ability to analyse and interpret CVs and outlines of qualifications and background used to determine if someone might be a good match for a given position.
