Job Description
The Hire Consultant is responsible for delivering exceptional customer service, managing equipment hire transactions, and supporting branch operations. This role involves assisting customers, processing equipment bookings, managing payments, coordinating deliveries, performing account vetting, and overseeing administrative functions to ensure efficient and accurate hire services. The Hire Consultant plays a key role in customer satisfaction and operational efficiency, contributing to business growth through customer retention, lead sourcing, and the careful management of office and equipment-related tasks.
Key Responsibilities
- Provide excellent customer service by answering calls and emails, opening customer accounts, and preparing quotes.
- Assist with sales, conduct credit checks, account approvals, and compressor inspections.
- Coordinate equipment hire bookings using Arctic Fox: manage machine check-outs and returns, loading, deposit payments, payment allocation, and invoicing.
- Perform office administration duties, including filing and record-keeping.
- Create and manage workshop job cards: add spares, allocate job cards, obtain quotes, and close job cards.
- Liaise with suppliers by sending invoices to the bookkeeper and maintaining filing systems.
- Create purchase orders for job cards, place orders with suppliers, and conduct follow-ups.
- Manage fuel-related tasks: submit fuel receipts to the bookkeeper and update fuel consumption and usage trackers.
- Conduct account vetting and cash-up procedures.
- Manage customer repairs and debtor accounts.
- Source new clients and support customer retention initiatives.
- Monitor customer profiles, credit limits, and deposits.
- Complete vehicle inspection sheets and oversee hire fleet maintenance.
- Prepare fuel reports, perform stock takes, and ensure invoices are processed accurately.
Education and Skills
- Excellent communication and interpersonal skills, with the ability to work effectively with both customers and colleagues.
- Proficient computer skills, with a thorough understanding of the MS Office Suite.
- Valid driving licence.
- Strong attention to detail for account management, job card tracking, and filing.
- Ability to multitask and manage time effectively to complete daily, weekly, and monthly tasks.
Experience
- Experience in a customer-facing role is essential.
- Experience within the construction industry and knowledge of relevant equipment would be advantageous.
- Familiarity with inventory tracking, filing systems, and basic office management.
