HR administrator

POSITION INFO:

a Lovely international comp in Capetown  Montaque Gardens, Western Cape is looking for a Hr Administrator

 

Criteria

  1. Accuracy and analytical
  2. Payroll inputs (hands-on) a must. Paymaster People Solutions payroll experience will be a bonus (complex, dummy payslips, incentives, travel allowances, tax directives, commissions, tax knowledge)
  3. Excel experience a must. Calculation functions, Sum, Ave, V-lookup, etc. Intermediate would be fine, Advanced preferable
  4. She may have couple of years’ HR and Payroll experience and busy with HR studies or she must have a diploma with 2-3 years’ experience. I might consider a higher salary during the interview with regards to her experience and qualifications.
  5. Criminal and finance check clearance.

 

Non-Negotiable:

 

  1. Own reliable transport
  2. Prepared to work extended hours if necessary. Never late with payroll payments. Salary date is the salary date!!!
  3. Payroll – Mock Payslips, Salary inputs, Bonus runs, Provident Fund, Medical Aid, Tax Directives, Taxable and Non-taxable Allowances (Non-negotiable!!! Must be very strong in payroll affairs)
  4. COIDA Submissions, EMP201’s, Mid-year and Year-end EMP501’s, IRP 5 submissions (All payroll reconciliation and reporting) (Non-negotiable!!!)
  5. HR Administration, HR Reporting, Minutes of various meetings (Skills, H&S, EE etc meetings)
  6. Microsoft Word, Microsoft Excel, Microsoft Outlook

 

Desirable:

  1. Microsoft PowerPoint, SharePoint
  2. Knowledge of the Labour legislation and general HR practices would be beneficial, e.g. EEA, BBBEE, SDA, BCEA knowledge
  3. Recruitment experience

 

 

HR Skills

  • Strong administration skills.
  • Familiarity with business software such as Microsoft Office.

  • Excellent interpersonal and customer-facing skills.
  • Strong communication skills, both written and verbal.
  • The flexibility and willingness to learn.

 

Responsibilities as the HR administrator may include but are not limited to:

  • Forming and maintaining employee records
  • Maintaining the ESS database internally, such as annual, sick, family, study and maternity leave
  • Preparing and amending, where necessary, online HR documents
  • HR Reporting: BBBEE, EEA, SKILLS DEVELOPMENT, PAYROLL, QES, COIDA
  • Being the first point of contact for employees on any HR related queries
  • HR Administration, Assisting of document drafts, etc.
  • Assisting with arrangements such as training sessions, staff Wellness and team-building events
  • Telephonic enquiries and queries and supply feedback
  • Filing – Sorting and Filing of all documents
  • Terminations: UI19, salary schedules and Certificates of Service
  • Assist with Recruitment Candidate CV’s
  • Full Payroll Function-      basic payroll concepts and legislation affecting the payroll

Legislation relating to payroll tax.

Factors that influence the tax calculation of an employee.

Taxation rules for different types of employees.

Principles and calculation of remuneration.

Taxation of various earnings and fringe benefits.

Different tax deductible deductions.

Tax treatment for the different types of retirement funds.

Taxation of medical aid, and the calculation of employees’ tax.

Monthly payroll processing cycle

Updating to the latest software update to ensure the new SARS IRP5/IT3(a) tax certificate validations are applied on your payroll.

Creating IRP5 / IT3(a) electronic certificates.

Printing all reports and certificates.

Detect and correct user-errors which may cause your electronic submission file to be rejected and clearing of the IRP5/IT3(a) exceptions report.

Making use of the EMP501 report to easily reconcile tax and balance your EMP501 monthly returns.

How to make successful back-ups of your data.

How to create a copy company of your year-end information for reference when required.

Distinguishing between your live company data and your copy company data.

Rolling your live payroll data into the new statutory tax year.
