SUMMARY:
HUMAN RESOURCES ADMINISTRATOR

Qualifications
Any HR related qualification will be considered
At least 3-4 years experience in a similar role is essential
Recruitment and Selection:

  • Compiling of Recruitment Files
  • Preparing Pre-screening
  • Attending and assisting with the recording of shortlisting and interviewing process
  • Invite shortlisted and confirm attendance of shortlisted candidates
  • Ensuring that during the shortlisting and interviewing process the attendance registers, confidentiality and conflict of interest forms are signed by the panel members as well as ensuring that the shortlisting and interview packs are prepared
  • Schedule interviews with shortlisted candidates,
  • Taking shortlisting and interview minutes,
  • Communicating with potential candidates: creating files for appointed employees, processing regret letters for those not chosen for particular position,
  • Drafting of job descriptions ensuring that they are aligned with employees KPI’s and KPA’s.
  • Preparing for induction of employees, informing them of all HR related policies affecting them
 
Human Resource Administration and Personnel Management:
  • Updating and maintaining HR records,
  • Reviewing and redrafting of HR policies,
  • Drafting of various HR documentation required for a specific area of work (e.g., employment contracts, regret letters, appointment letters, contract renewal letters, training related documents) ,
  • Controlling incoming and outgoing documents, filing employee records/documents, creating employee files,
  • Opening of HR related files (e.g., short-term and long-term contracts file, Subsistence and Travelling claims file, Internship agreement files, Payment and Memo Files) taking meeting minutes, liaise with other departments such as Registry for work related tools such as stationery.
  • Processing enquiries (whether via email; phone or paper) and directly forward queries within the boundaries of the HR unit and ensuring that correspondence and other information is appropriately electronically & manually filed and that the electronic files are kept up to date and reminder systems are operated
  • Drafting an exit survey for employees leaving the organization
  • Ensuring that HR service providers payments are issued as well as their contracts are up to date
  • Updating of the HR action matrix ensuring that all information is up to date regarding activities that have occurred in the HR Department monthly
  • Drafting of HR meeting minutes and typing of the meeting agendas
  • Ensuring labour compliance of all international entities within the group
  • Oversee and ensuring compliance with OHAS regulations.
  • Ensuring all policy and procedure information is current and available on SharePoint.
  • Support managers in the implementation of HR procedures including performance and probation management, grievances & disciplinary procedures, leave management, training and development, management development and on boarding
  • Contribute to the development of HR processes, systems, projects and procedures as undertaken by the HR team
  • Actively manage and develop wellness initiatives
  • Creation of Job Description File consisting of all positions found within the Company
 
Training and Development and Performance Management
Identifying employee training needs, processing and organizing for their training sessions, processing of training requisitions
Assisting with the uploading of documents as and when required to the training document library.
  • Updating and maintaining of Bursary documents, keeping up to date records of all employees granted bursaries
  • Provide training on HR systems and procedures to managers and staff as required.
  • Co-ordination of Learning and Development records, processes and reporting
  • Compiling and Filing of Performance Agreements as well as Performance Reviews
