SUMMARY:
Our client a multinational within the financial sector is looking for a switched-on HR Graduate to join their team as an HR Administrator for a 6-month contract.

POSITION INFO:

Job Specification;

Assisting with the full Onboarding process of new starters for the relevant division from acceptance of offer to the completion of probation

Ensuring data is recorded accurately and consistently in the HR database at all times

Support Group resourcing with arranging interviews for candidates and assisting in the maintenance of the Applicant Tracking process.

Assisting the Senior Administrators with the administration of all employee life cycle events, including but not limited to Joiners, Leavers, Contractual changes, and Parental Leave

Assisting in the provision of data and statistical reports required by the Business, responding in accordance with agreed service levels to requests for HR data from other business areas

Support the resolution of general employee queries by both telephone and email

Assisting the Senior Administrator with the management of the HR Email Inbox, meeting agreed SLA’s

Provide a timely service for enquiries both internal and external

Utilise and/or obtain HR knowledge to answer queries or escalate to other members of the team

Scan and file HR documents in an efficient, accurate, and timely manner in line with department processes

Support the L&D team with the administration as required including arranging lunch and learn sessions, printing slide decks for delegates, managing the training room diary, maintaining the attendee''s log, and arranging refreshment provisions with facilities

Responding to employment reference requests in a timely manner in accordance with best practice and regulatory requirements

Create and maintain the organisational charts for the business, providing ad hoc charts to various internal stakeholders when requested

Providing administrative support with ad hoc projects as required, including acquisitions, which will extend to data collation, documentation production, assisting with the on-boarding of new employees, and any other assistance required

Develop knowledge of different jurisdictional processes and regulatory requirements and apply this knowledge to administrative activities

Actively contribute and be a key member of a multi-jurisdictional HR team building effective working relationships to ensure procedures are accurately followed, allowing for continuity of service during busy periods or times of absence

Maintain accuracy when handling data and ensure that the integrity of processes is maintained

Maintain the highest standard of confidentiality and security in terms of employee data and business information and consider the impact of GDPR on all activities undertaken

Uphold the professional standards expected of an HR practitioner and act as a role model of excellence with all clients, internally and externally

Developing self and maintaining knowledge in relevant field at all times

Adhere to Risk & Compliance procedures in relation to regulatory requirements and AML legislation

Adhere to core values and expected behaviours

Any other duties as deemed necessary by Management

 

Minimum Requirements;

Matric or Equivalent

Completed Relevant HR Degree

6 month contract

Working knowledge of Microsoft packages, including Excel, Outlook and Word

Ability to work within pre-determined deadlines and prioritising workloads whilst working under pressure

Ability to demonstrate effective communication skills

Excellent telephone communication skills
