Functions & Events Coordinator, Boutique Hotel

SUMMARY:
We are seeking an experienced and creative Functions & Events Coordinator to join our team at a luxury boutique hotel in Constantia. This role requires a detail-oriented, service-driven individual who can plan, coordinate, and execute flawless functions, weddings, and private events, while ensuring each guest enjoys an exceptional experience.

Key Responsibilities

• Manage the planning and coordination of weddings, corporate events, private functions, and special occasions.
• Liaise with clients from enquiry stage through to post-event follow-up, ensuring all requirements are met.
• Work closely with the F&B and operations team to deliver seamless service.
• Prepare event proposals, budgets, contracts, and schedules.
• Ensure setup, décor, and service meet the property’s luxury standards.
• Develop and maintain strong client and supplier relationships.
• Oversee staffing, logistics, and on-the-day event management.

POSITION INFO:

Requirements

• Previous experience as an Events or Functions Coordinator in a 4- or 5-star hospitality environment (essential).
• Excellent organizational and time-management skills.
• Strong interpersonal and client relationship abilities.
• Ability to multitask and thrive under pressure.
• Attention to detail with a flair for creativity.
• Knowledge of event systems, F&B service, and budgeting.
• Willingness to work flexible hours, including evenings, weekends, and public holidays.
